The Role
n
We are seeking a pro-active and detail orientated Secretary to support the Firm's central operations, with a secondary focus on our commercial property department. This is a varied and pivotal position providing essential secretarial support across the Firm, while also assisting fee earners within the commercial property team. The successful candidate will play a key role in ensuring the smooth day-to-day running of the office.

Core Responsibilities (Firmwide Support)
n

Manage incoming calls, emails, and correspondence
n
Meet and greet clients to the Firm's office
n
Provide support and holiday cover for reception
n
Coordinate meetings, diary management, and room bookings
n
Undertake dictation as required by the fee-earning teams
n
Open and close client files in accordance with compliance procedures
n
Attend meetings and take notes
n
Support compliance and regulatory administration
n
Support fee-earning teams with administrative tasks on an ad hoc basis as instructed by line manager
n
Attend and participate in departmental and business support meetings
n
General office administration including document management and archiving.

Commercial Property Department Support
n
n
Completion of file opening forms
n
Set up and manage Docusign
n
Supporting the Partner with expenses management.
n
Undertake file closing matters
n
Identify items for Restore
n
Issue file closing letters, placing copies on SOS.
n
Support the team with the incoming and outgoing post on a day-to-day basis
n
Scanning and filing documents.

About You
n
We are seeking a highly organised and proactive Secretary to provide administrative and clerical support to our teams. The ideal candidate will be professionally presented, efficient, detail-oriented, and capable of handling a variety of tasks in a fast-paced environment.

Proven experience in an administrative or secretarial role
n
Excellent written and verbal communication skills
n
Strong organisational and time-management abilities
n
Ability to multitask and prioritise workload effectively
n
Professional demeanour and discretion in handling confidential information
n
Strong typing and document management skills
n
Proficient with Microsoft Office, specifically Outlook, Word and Excel and Case Management
n
Systems.
