Medical Receptionist – Upcoming GP Clinic, Bassendean Business: Care Medical Practice Location: Town of Bassendean, Western Australia Reports to: Practice Manager Employment Type: Full time fixed-term employment contract for 6 months, with potential transition to permanent full-time employment on an annual salary, subject to performance, business requirements, and mutual agreement.
Hourly Rate: $30–$35 per hour, depending on experience Role Purpose The Medical Receptionist will provide professional front-desk and administrative support for Care Medical Practice's upcoming GP clinic in the Town of Bassendean.
The role will support patient bookings, reception duties, billing, records management, communication, and day-to-day administrative support for doctors, nurses, allied health providers, and patients.
This position is based in the Town of Bassendean, within the Perth Metropolitan region , and would suit a candidate seeking to work in a well-established metropolitan community with convenient access to Perth CBD and surrounding suburbs.
Key Responsibilities Welcome patients and visitors in a professional and respectful manner.
Answer phone calls, manage enquiries, and direct calls appropriately.
Book, reschedule, and cancel appointments using the practice management system.
Manage patient check-in, waiting room flow, and appointment updates.
Maintain accurate patient records, including Medicare details, contact details, concession cards, and billing information.
Process new patient forms, consent forms, referrals, reports, emails, and other correspondence.
Support recalls, reminders,



SMS communications, and patient follow-ups.
Process Medicare claims, private billing, gap payments, EFTPOS payments, and receipts in line with practice policy.
Assist with daily payment reconciliation and escalate billing issues where required.
Provide administrative support to GPs, nurses, allied health providers, pathology providers, and other clinic staff.
Maintain a clean, organised, and professional reception and waiting area.
Follow practice procedures for privacy, confidentiality, infection control, complaints, billing, and records management.
Escalate urgent patient matters, complaints, clinical concerns, or operational issues to the Practice Manager or appropriate clinical team member.
Skills and Experience Essential Previous reception, administration, customer service, or healthcare experience.
Strong communication and interpersonal skills.
Professional phone manner and patient-focused approach.
Good attention to detail, especially with patient records and billing.
Ability to manage competing priorities in a busy reception environment.
Ability to maintain privacy, confidentiality, and professionalism.




Basic computer skills and willingness to learn practice management software.
Desirable Previous GP clinic or medical centre experience.
Experience with Best Practice, MedicalDirector, HotDoc, Healthengine, AutoMed, or similar systems.
Understanding of Medicare billing, private billing, recalls, reminders, and appointment book management.
Experience in a mixed-billing practice.

Indicative Experience Requirement Minimum: 1–2 years' reception, administration, or customer service experience.
Preferred: 2–3 years' medical reception or GP clinic experience.
Ideal: 3+ years' GP medical reception experience, including billing, Medicare claiming, appointment books, recalls, and patient administration.
