Job Description Take ownership of the coordination, administration and commercial support that keeps a busy services operation moving.
End-to-end role across scheduling, quoting, administration and invoicing Full-time permanent role, 7am start time and optional monthly RDO $75,000 - $80,000 + superannuation Our client is an established and growing facilities management business based in Rutherford, NSW.
With operations spanning New South Wales and Queensland, the organisation delivers professional cleaning and facilities management services across a diverse range of sectors including mining, power generation, local government, education, healthcare and industrial operations.
The business is dynamic and fast-growing with a practical, team-focused environment.
The Opportunity We are looking for an experienced Service Coordinator to join the operations team and take ownership of the coordination and administration that keeps the service division running smoothly.
This is a role with plenty of variety.
While scheduling remains an important part of the position, the opportunity is broader than simply coordinating technicians.
You will be involved across the end-to-end process, including managing incoming requests, preparing quotes, allocating costs, coordinating materials, maintaining accurate records, completing jobs and assisting with invoicing.
You will work closely with Service Delivery Managers, supervisors, trades teams, procurement, accounts and clients, so the ability to communicate confidently and keep multiple priorities moving will be key.
The role will suit someone who enjoys a busy environment,



is comfortable working across several tasks at once and takes pride in getting the detail right.
Brand new office based in Rutherford, NSW Office based, full-time, permanent role 7:00am - 3:00pm, Monday to Friday Salary: $75,000 - $80,000 + super Optional Monthly RDO Key Responsibilities Coordinate daily service requests and prioritise incoming work across HVAC, building, plumbing and grounds services Manage and maintain technician schedules, including changes, urgent works and reactive jobs Prepare and process quotes, including applying relevant pricing, rates, mark-ups and purchase order details Coordinate materials and parts with the procurement team Monitor completed works and prepare jobs for invoicing Assist with month-end invoicing and ensure job information is accurate and complete Manage incoming calls and enquiries from clients, trades and internal stakeholders Maintain accurate records, spreadsheets and supporting documentation About You You will be an organised and capable coordinator who is comfortable working in a rapid-paced environment where priorities can change quickly.
You don't need to know every system from day one, but you do need the confidence to learn, ask questions and take ownership of your work.
The successful candidate will bring:



Proven experience in service coordination or a similar role Ability to prioritise competing and time-sensitive tasks Excellent attention to detail, particularly when working with data, costs, timesheets and invoicing information Confident communication skills and the ability to work with trades, clients and internal teams Experience within HVAC, building, facilities, trades or a similar in an administrative type of role will be highly regarded Why Join?
