Client Manager / Operations Coordinator – Fire Protection

We are an established fire protection company servicing a large client base across Sydney and preparing for significant expansion into Melbourne.
We are looking for a highly organised, switched-on Client Manager / Operations Coordinator to take ownership of day-to-day client communication, quoting, scheduling, job coordination and workflow across the business.
This is not a slow-paced administration role.
There will be emails coming in, phones ringing, technicians requiring information, clients following up, quotes to prepare, jobs to schedule, compliance documentation to send and multiple priorities moving at the same time.
The right person will enjoy that environment.
You need to be exceptionally organised, able to retain a lot of information, comfortable changing priorities quickly and capable of keeping track of dozens of moving parts without becoming flustered.
The Role
Initially, your focus will be getting completely across our existing Sydney operations.
Once established, you will progressively take on the client management and coordination side of our new Melbourne operation, where there will also be an increased focus on developing relationships with new clients and helping grow the business.
The role has four major areas of responsibility:
Client Management
You will become a key point of contact for clients, handling incoming calls and emails, answering questions, resolving issues and making sure clients are kept informed.
Quoting
You will learn our quoting systems and processes, interpret inspection defects, prepare rectification quotes and keep opportunities moving without clients having to constantly follow us up.
Scheduling and Job Coordination
You will plan and organise jobs, coordinate technicians, manage scheduling changes and make sure our field team knows exactly where they need to be and what they need to do.
Growth and Follow-Up
When the operational workload is under control, you will use available time productively through quote follow-ups, client outreach, relationship management and activities that help generate additional work.
Your day-to-day responsibilities will include:
Managing incoming client phone calls and emails
Becoming the primary point of contact for many clients
Scheduling inspections, maintenance and rectification works
Planning technician workloads and organising jobs efficiently
Making sure technicians have the correct job details, site information and instructions before attending
Coordinating changes when jobs, clients or technician availability shifts
Confirming appointments and helping keep the field schedule running smoothly
Preparing and sending quotes
Following up outstanding quotes and keeping opportunities moving
Learning how to interpret fire inspection defects and convert them into required rectification works
Coordinating information between clients, technicians and management
Ensuring compliance documentation and certificates are issued on time
Following up jobs, inspections and outstanding information
Keeping client and job records organised across our systems




Resolving customer issues where possible and knowing when to escalation
Proactively identifying things that require attention before they become problems
Conducting client outreach and business development activities when capacity allows
Helping strengthen existing client relationships and identify additional opportunities
Supporting the continued growth of our Sydney operation and establishment of our Melbourne operation
Quoting
A major part of the position will be quoting.
At present, much of this knowledge sits with the business owner. You will be trained in our quoting process with the goal of eventually being able to independently prepare the large majority of our routine quotes, while escalating more complex technical matters when required.
You will need to learn how to review inspection defects, understand what work is required and translate that information into an accurate quote.
There is a lot to learn during your first few months, and we need someone who genuinely enjoys learning systems and becoming very good at what they do.
Scheduling and Coordination
Scheduling is another major component of this position.
Our technicians are working across multiple sites, clients and job types, so the person managing the schedule needs to be highly organised and constantly thinking ahead.
You will be responsible for making sure jobs are planned properly, technicians know where they are going, clients know when we are attending and any changes are dealt with quickly.
Positive scheduling is more than putting appointments into a calendar.
You need to consider location, urgency, technician availability, job requirements, client expectations and what information or equipment may be needed on site.
The goal is for the field team to be able to concentrate on completing the work while you help keep everything around them organised.

Is reliable, punctual, professional and consistently switched-on
Takes pride in keeping things organised and under control




We are particularly interested in people who have previously worked in roles involving client management, service coordination, scheduling, operations, account management, facilities, trades, construction or other fast-moving service businesses.
Fire protection experience would be beneficial but is not essential. The right person's organisation, communication, judgement and ability to learn are more important.
What Success Looks Like
One of the biggest objectives of this position is simple:
Our clients should not need to chase us.
Quotes should be followed up before the client asks.
Certificates should be issued before someone has to request them.
Jobs should be scheduled properly.
Technicians should know where they are going.
Clients should know when we are attending.
Emails should be answered.
Nothing should disappear into a system.
Once the core operation is running smoothly, we also want someone who asks what else they can do to help grow the business.
That could mean following up dormant quotes, contacting existing clients, identifying additional work, developing relationships or helping build the Melbourne client base.
Performance in these areas will also contribute to opportunities to earn additional bonuses.
The role ultimately exists to take ownership of the client-facing and coordination side of the business, allowing the company directors to focus more heavily on technical matters, larger projects and growth.
About the Business
Our core work is in fire protection, including routine inspection and maintenance, compliance requirements and larger rectification works.
The business already has an established operation and client base in Sydney and is now entering an important growth stage with our expansion into Victoria.
The position itself is based on the Gold Coast, where you will work alongside management and receive hands‐on training.
For the right person, there is significant opportunity to grow with the company as the Sydney and Melbourne operations continue to expand.
