Reporting to the Commercial Finance Manager, the Finance & Administration Officer supports the Commercial Finance team in Wingfield, SA, ensuring efficient and compliant purchasing processes. Key responsibilities include managing purchase orders end-to-end, reviewing invoices, and reconciling customer and supplier accounts.
What you'll be doing
- Coordinate day-to-day purchasing activities.
- Source goods and services in accordance with organisational requirements.
- Be actively involved in cost-savings initiative – obtaining multiple quotes for better pricing and service, sourcing alternative suppliers, etc.
- Assist with contract renewals and supplier negotiations
- Develop and maintain effective relationships with suppliers and internal stakeholders.
- Monitor supplier performance, pricing and delivery.
- Manage purchase orders from creation to delivery and closure.
- Work closely with the Accounts Payable team to resolve PO/invoice matching issues
- Generate and review Open Purchase Order report to follow up unreceipted POs
- Generate and review of GRNI report to follow up outstanding invoices.
- Send new supplier accounts set-up requests as required.
- Adhoc Non-Po Invoice review and coding
- Customer/Supplier Account reconciliation
- Ad hoc duties as required by the Commercial Finance Manager.
Skills & Experience
- Qualifications in either Finance and/or Accounting
- Previous experience in a similar finance/administration, purchasing, supply chain role
- Strong knowledge of procurement process and supplier management
- Excellent negotiation, communication and interpersonal skills
- Familiarity with Microsoft 365 or other ERP systems and knowledge of Fleet Maintenance Systems
- Proficiency in Excel and other MS office applications
- Strong attention to detail with excellent numerical, problem-solving and communication skills.
