We are looking for a Shipping Coordinator to work with our team located in Altona.

FTA Food Solutions is a major supply-chain solutions-based importer and distributor of food products for the Australian, New Zealand and export markets.

The Shipping Coordinator plays a critical role in managing the documentation and administrative flow of international food import/export operations. You will ensure timely processing of import documents, Post Purchase Invoice reconciliation, precise ERP data entry, and seamless customer invoicing. This role acts as a vital bridge between Supply Chain, Procurement, Finance, and external service providers to guarantee cost-productive, compliant, and uninterrupted service deliver.

Key Responsibilities

Documentation & Monitoring

- Receive, verify, follow up and file international shipping documentation to ensure full regulatory and food import/export compliance.

- Collect real-time shipping information from global vendors and logistics providers to ensure timely delivery of goods.

- Maintain accurate tracking data to enable automated visibility tools to update the Expected ‘Receipt Date’.

- Coordinate the timely receipt of arrival notices, Electronic Delivery Orders (EDOs), and invoices from logistics providers.

Commercial - Post Purchase Invoicing (PPI) & Client Invoicing

- Post Purchase Invoicing processing and input into the ERP system to facilitate timely vendor payments and releases.

- Partner closely with the Finance team to align documentation,



resolve quantity and price discrepancies, and prevent cargo holds.

- Raise client invoices and send the relevant paperwork to support the efficient flow of goods.

- Track and review ocean freight, wharfage and wharf transport invoices against contracted rates.

Shipping Service Delivery

- Consistently work towards the service, accuracy, timeliness and compliance targets agreed with the Shipping Manager. Monitor progress, raise risks or issues early, and take practical steps to support reliable shipping outcomes and continuous improvement.

About you

The ideal candidate will have experience working in similar roles with minimum of 3 years of experience within international supply chain, freight forwarding, or import operations.

- Proven track record in import coordination, international logistics, and/or food supply chain environments.

- System Knowledge: Hands-on experience working with ERP software and automated shipment tracking systems.

- Good understanding of import documentation, ocean freight knowledge and shipping terminology.

- High accuracy in data entry and financial document reconciliation.

- Ability to work as a harmonious team to smooth process constraints and exceed team KPIs.
