Administration & Client Intake Coordinator

Socially Speaking Pty Ltd 6–8 hours per week | $40 per hour | Work from home | Flexible hours

Socially Speaking is looking for a warm, organised and proactive Administration & Client Intake Coordinator to join our small, friendly team.

This is a fully remote, work-from-home position for approximately 6–8 hours per week, paid at $40 per hour. The hours are flexible and can generally be completed at times that suit you, provided client enquiries and important communications are responded to in a timely manner.

We work with children, teenagers and young adults, approximately 8 years through to young adulthood, providing online social communication and neurodiversity-affirming supports.

Our services include online groups such as PEERS®, Social Stencil, Dungeons & Dragons, and NeuroACT, as well as individual 1:1 therapy.

About the role

A large part of this role is helping families navigate our services and work out which support is likely to suit them best. You will be one of the first points of contact for new families, so we are looking for someone who is confident speaking with parents and clients, can listen carefully to what they are looking for, and can explain our different services in a friendly and approachable way.

Responsibilities will include

- Speaking with new clients and families by phone as part of the intake process
- Responding to client enquiries by email
- Gathering relevant information about a client's needs, goals, age and circumstances




- Helping families determine which of our groups or services may be the most appropriate fit
- Explaining available programs, group options and next steps
- Identifying when a client may be better suited to individual 1:1 therapy rather than a group
- Introducing and handing clients over to the appropriate therapist when 1:1 support is required
- Coordinating with our other virtual assistant regarding new group participants
- Keeping administration staff updated about who is joining groups, who has withdrawn and the reasons for withdrawal
- Following up with families where necessary
- Maintaining clear communication between clients, therapists and administration
- Assisting with general client coordination and administrative tasks as required

About you

We are looking for someone who is:
- Warm, personable and comfortable speaking with families on the phone
- An excellent written communicator who can write clear and professional emails
- Highly organised and able to keep track of multiple clients and programs
- Confident working independently from home
- Comfortable communicating with therapists and other remote team members
- Able to use initiative and make sensible decisions about where clients may best fit within our services
- Reliable and responsive




- Compassionate and comfortable working with neurodivergent children, teenagers and young adults

Some previous experience with the NDIS is required. You don't need to know everything, but you should have a reasonable understanding of how NDIS-funded therapy services operate and feel comfortable communicating with NDIS participants and families. Experience working in allied health, psychology, speech pathology, disability, mental health or a similar service environment would be highly regarded.

Training and handover

Our current administrator has been a wonderful part of the team and is sadly leaving for personal reasons. We want the transition to be as smooth as possible, so the successful applicant will receive training guides and a comprehensive handover from our current administrator.

Because she will be available to assist with handover before leaving, the successful applicant will need to be available to commence by 28 September.

This role could be particularly well suited to someone with allied-health or NDIS administration experience who is looking for a small number of flexible schedule that can be completed from home. Above all, we are looking for someone who genuinely enjoys helping families, communicates beautifully and can become a reliable link between our clients, therapists and administration team.
