Heavy Vehicle Industry Australia (HVIA) represents more than 320 businesses across the heavy vehicle industry, from truck and trailer manufacturers and dealers to parts suppliers, engineers, technology providers and more. Leading Australia's heavy vehicle industry since 1970.
HVIA is looking for an Administration & Membership Coordinator to support the day-to-day administration and membership functions, as well as the wider team, helping keep the heavy industry community connected, supported and engaged.
The Role
This is a hands-on role with plenty of variety based at our Seventeen-Mile Rocks office. You’ll be dealing with members and stakeholders, keeping databases and systems up to date, supporting communications and campaigns, and helping coordinate meetings and industry events.
Key responsibilities include:
- Provide professional and timely support to HVIA members and stakeholders;
- Manage incoming telephone enquiries and emails;
- Maintain accurate and up-to-date member records, databases and CRM (Customer Relationship Management) systems;
- Assist with proactive member contact, follow-ups and ongoing relationship management;
- Assist with membership growth, retention and engagement activities, including email campaigns;
- Prepare meeting agendas, minutes and related documentation;
- Assist with member forums, networking events and larger industry events as required;
- Provide general administrative and coordination support to the National Manager – Partnerships & Member Engagement and wider HVIA team; and
- Assist with other administrative and ad-hoc tasks as required.
About You We're looking for someone who is organised, confident, proactive and genuinely enjoys dealing with people.
You will ideally have experience within:
- Heavy vehicle, transport, automotive, manufacturing, engineering or related industries; or
- An industry association or membership organisation.
You'll also have:
- Strong written and verbal communication skills;
- Confidence speaking with members and stakeholders over the phone;
- Previous experience using HubSpot (desirable) or a similar CRM;
- Strong organisation skills and attention to detail;
- The ability to manage competing priorities and follow things through;
- A proactive, practical approach and a genuine get-it-done attitude;
- Confidence learning new systems and processes; and
- A friendly, professional and approachable manner.
