Position Summary:
The Assistant Head of Primary - Operations is a senior leadership role responsible for the smooth and efficient operation of daily activities. This role involves overseeing the day-to-day supervision of teachers, managing the operational logistics, and ensuring that all administrative functions support the mission of providing a Christ-centred education.
The Assistant
Head of Primary - Operations is also responsible for developing the timetable, determining staffing needs, and overseeing the administration staff. In addition, this role provides pastoral care and support to all staff, offering guidance and assistance to those who may be dealing with personal challenges or workload pressures.
Key Responsibilities:
Daily Operations Management
- Balance strategic and operational leadership duties (0.8 FTE) with a 0.2 FTE teaching commitment.
- Oversee the daily operations of the school, ensuring that all activities run smoothly and efficiently.
- Oversee the provision of supply staff, ensuring the school is adequately staffed, including managing staffing requirements outside normal working hours to facilitate same-day coverage before the start of the school day.
- Manage school-wide logistics and assets, including scheduling, facilities use, and event coordination, to support the academic and co-curricular programs.
- Manage the school timetable and all rosters to ensure productive staffing.
- Oversee the planning and execution of emergency evacuations and safety drills, ensuring that all staff and students are well-prepared and that procedures align with legal requirements and best practices.
- Provide continuity of leadership and ensure that daily operations and educational standards are maintained during the Head of Primary’s absence.
- Utilise data to monitor College efficiencies, informing decision-making and driving continuous improvement in personal growth.
- Lead the administration teams (teaching and non-teaching) in the school.
- Oversee the running of parent-teacher interviews and other evenings that enhance communication between the teachers and parents.
- Line-manage the school library team, overseeing the effective operation of library services to support student learning and resource management.
Timetable and Staffing Development
- Develop and manage the timetable, ensuring that it meets the educational needs of students while maximising the effective use of staff and resources.
- Oversee the recruitment process for vacant positions across the school.
- Determine staffing requirements based on enrolment projections, curriculum demands, and extracurricular activities, ensuring that the school is adequately staffed.
- Collaborate with the Head of Primary and other leaders to make strategic decisions regarding staff deployment and class sizes.
- Manage and support administration staff and teacher aides, ensuring their professional development, performance, and well-being, while fostering a collaborative and efficient working environment.
- Lead annual staff reviews, ensuring a focus on professional growth, goal setting, and the ongoing development of staff capabilities.
- Contribute to the on-going development of the teacher aides.
- Oversee the induction of new teaching staff and teacher aides, ensuring they are suitably prepared, equipped and compliant for a smooth start.
- Ensure staff adhere to the professional expectations as set out in the Staff Code of Conduct.
Strategic Planning and Development
- Contribute to the strategic planning process by identifying and implementing opportunities for improving operational efficiency and resource allocation through the development and refinement of policies and procedures.
- Work with the administration team to produce reports as needed for effective data tracking.
- Contribute as a key figure in the planning and execution of strategic projects that align with the school’s mission, vision and strategic goals.
- Liaising with the College Executive, provide assistance with budgets and budget documentation and oversee CAPEX requests.
Pastoral Care and Staff Support
- Provide pastoral care to all staff, offering support to those dealing with life events, personal challenges, or workload-related concerns.
- Develop and implement support systems and resources to assist staff in managing their responsibilities effectively.
- Act as a confidential advisor and advocate for staff well-being, ensuring that the school community is a place of care, respect,
and Christian fellowship.
- Identify and improve staff practices, beliefs or behaviours which do not align with policy and College expectations, while maintaining a collegial relationship.
Community and Stakeholder Engagement
- Build and maintain strong relationships with students, parents, and the broader College community, ensuring open communication and active engagement.
- Represent the College at events, meetings, and public forums, advocating for the needs and achievements of both students and staff.
- Liaise with external stakeholders, including educational bodies, other schools, and industry partners, to enhance learning opportunities and resources.
Other Responsibilities:
- Attend relevant school events and support the implementation of strategic initiatives as delegated by the Head of School or Principal
- Contribute to school devotions, assemblies, duties and community life as appropriate
- Actively engage in College-wide leadership initiatives.
- It is an expectation that Assistant Heads will be available in non-contact weeks including the Term 1 office week, the whole of the July PD week and Term 4 office week.
Requirements:
- Minimum Bachelor of Education or equivalent in relevant teaching areas (relevant postgraduate qualifications would be an advantage)
- Queensland College of Teachers (QCT) current registration
- Knowledge of timetabler or similar programs
- Written, current Pastoral reference on church letterhead
