About the role The Clinic Manager will be the operational backbone of both Evolutio and Ciclo businesses, running the admin side and front-facing side of two busy allied health and cycling practices sharing one space. This is a genuinely hybrid role. Half the job is precise, detail-driven administration.

The other half is being the first and last person clients interact with, whether they're a physio patient or a cyclist in for a bike fit, making them feel properly looked after from the moment they walk through the door is vital.

The role also includes some light cleaning and general upkeep of the clinic and space, and offers a genuine opportunity to learn the inner workings of an incredible clinic and space, from the billing and back office through to how the whole client experience comes together.

18 hours a week on-site: Monday & Wednesday 1pm to 7pm, Friday 8am to 2pm, plus roughly 3 hours a fortnight remote, managing our shared inbox and business WhatsApp

Key responsibilities

- Processing WorkSafe, TAC and DVA billing for Evolutio
- Manually processing Medicare EPC/GPCDMP claims and issuing client invoices
- Processing HICAPS claims (item code 500) for Ciclo bike fits
- Managing the shared clinic email inbox and business WhatsApp
- Following up missed appointments and cancellations in line with clinic policy
- Confirming Ciclo bike-fitting appointments ahead of time
- General practice administration and diary coordination across both brands
- Warmly welcoming every client on arrival, physio patients and cyclists alike, including offering tea or coffee while they wait
- Keeping the reception area and wider clinic presentable and well-stocked, including some light cleaning and general upkeep




- Acting as the first point of contact for patients, riders, case managers and referring GPs
- Managing stock and treatment rooms for the practitioners

About you

- Previous experience in a similar administration or clinic coordination role; allied health or medical reception experience highly regarded
- Confident managing billing and invoicing processes across more than one system, or a quick, capable learner
- Excellent organisational skills, knowledge of Google Drive, and the initiative to manage your own workload without close supervision
- A professional, warm communicator, equally comfortable on the phone with a patient, a cyclist, a WorkCover case manager or a referring GP
- Comfortable with practice management and invoicing software
- Reliable and discreet, with a genuine interest in creating a valuable first impression for every person who walks in, whatever brings them through the door

About us Evolutio and Ciclo are two brands sharing a warehouse clinic in Richmond, run under one roof and one reception desk. Evolutio is a sports physiotherapy and sports medicine clinic, established in 2013, with a unique space featuring a handmade large dining table as the waiting area, soft hip hop and indie tunes, lots of plants and coffee always on for patients and the team. The clinic has focused on CrossFit, Powerlifting, Olympic lifting and now also works heavily with AFL athletes and endurance athletes.

Ciclo is Evolutio's cycling cousin and operates out of the same space, offering physio-led bike fitting for road, gravel and TT bikes. Every fit is run by a registered physio, so the two businesses share not just a building but a team. Neither clinic was built to feel like a sterile medical centre.
