About this opportunity
Mackay Regional Council is seeking a Development Bookings Officer to provide accurate, efficient and customer-focused administrative support within our People & Culture team.
In this permanent full-time role, you will coordinate travel, accommodation and related administration for Council-sponsored learning and development activities, including seminars, training events and specialised conferences. You will help ensure employees have the arrangements they need to attend approved development opportunities, while maintaining accurate records, tracking costs and supporting compliance with Council procedures.
This role would suit someone who enjoys structured administration, clear processes, stakeholder communication and practical problem-solving in a busy team environment. Your work will help ensure employees can access approved learning and development opportunities smoothly, on time and with the right support in place.
In this role, you will
- Coordinate travel, accommodation and related booking arrangements for approved learning and development activities.
- Process Learning and Development Activity Application Forms and ensure arrangements align with approved budgets, policies and guidelines.
- Liaise with employees, training providers, accommodation providers and internal stakeholders to confirm accurate and timely booking details.
- Maintain accurate records of bookings, costs, supporting documentation and related correspondence.
- Support reimbursement, purchase order, receipting and other financial administration tasks.
- Use systems such as Microsoft Office, ECM, iChris, financial systems and booking platforms to complete administrative tasks accurately.
- Provide project administration support to the Capability and Development team, including induction set-up, event support, filing and data entry.
- Monitor changing priorities,
follow established processes and support continuous improvement in booking and administration workflows.
Essential Qualifications, Experience & Skills To Be Successful In This Role, You Will Bring
- Demonstrated experience in an administrative, travel coordination, booking, finance administration or similar support role.
- Strong organisational and time management skills, with the ability to manage competing priorities and meet deadlines.
- High attention to detail and accuracy in data entry, records management and documentation.
- Effective written and verbal communication skills, with a customer-focused approach.
- Confidence using Microsoft Office Suite and the ability to learn and use corporate systems.
- Ability to follow policies, procedures and approval workflows.
- Strong stakeholder engagement skills and the ability to work collaboratively across teams.
- A practical, solutions-focused approach to problem solving and changing priorities.
Desirable experience
- Experience using travel booking platforms, HRIS, financial, procurement or document management systems.
- Experience supporting learning and development, induction, events, training logistics or project administration.
- Previous experience in local government, public sector or a large multi-disciplinary organisation.
