About the role
The Events Fundraising and Partnerships Coordinator leads the planning and operational delivery of New Horizons Tasmania’s major fundraising events and other organisational events. The role develops and manages fundraising, sponsorship and in-kind partnerships that generate sustainable income and practical support for the organisation’s programs, events and representative sporting teams. This is a hands-on project coordination role responsible for taking events and fundraising initiatives from concept and planning through to delivery, evaluation and reporting.

For the past 40 years, New Horizons Tasmania has been changing lives by providing vital inclusive sport, recreational and social opportunities for Tasmanians living with disability. It’s hard to remember a time our members weren’t out and about, challenging perceptions and making a difference! Today, our community has grown to more than 300 members across Tasmania, participating in programs and initiatives statewide.
Key relationships
• Internal: Chief Executive Officer, Marketing and Communications, Sport and Recreation team, administration team, employees and volunteers. • External: sponsors, donors, corporate and community partners, event venues, suppliers, contractors, guests, participants and community organisations.
Key responsibilities
Event planning and project delivery
- Lead the end-to-end planning and operational delivery of major fundraising events, including development of project plans, timelines, budgets, responsibilities and delivery schedules.
- Coordinate organisational and community events across the annual calendar, scaling the planning approach to the size, purpose and risk of each event.
- Manage venues, suppliers, contractors, entertainment, catering, equipment, ticketing, registrations, run sheets, guest requirements and event-day logistics.
- Coordinate employees and volunteers involved in events, ensuring responsibilities, briefing, supervision and communication are clear with support from the volunteer co-ordinator.
- Maintain event risk assessments, permits, insurance information, emergency arrangements and other compliance requirements, escalating significant risks to the Chief Executive Officer.
- Monitor event budgets, commitments and expenditure, seek approvals within required timeframes and maintain complete supporting records.
- Evaluate each major event against agreed financial, participation, partner and experience outcomes and provide a timely post-event report.
Fundraising and donor development
- Develop and implement a statewide fundraising strategy to support New Horizons Tasmania’s continued growth.
- Develop and maintain an annual fundraising and events calendar aligned with organisational priorities, income targets and team capacity.
- Plan and deliver fundraising campaigns and initiatives that diversify income and engage supporters in New Horizons Tasmania’s purpose.
- Coordinate the procurement of prizes, auction items, donations and in-kind support for fundraising events and activities.
- Build and steward relationships with donors and supporters, including timely communication, acknowledgement and follow-up.
- Maintain accurate fundraising records, contact information, commitments, income, expenditure and supporting documentation.
- Identify opportunities to strengthen event profitability, donor retention and sustainable fundraising performance.
Sponsorships and partnerships
- Identify and research prospective sponsors and partners whose interests align with New Horizons Tasmania’s programs, events and inclusive sporting pathways.
- Develop tailored sponsorship proposals, approaches and presentations in consultation with the Chief Executive Officer and relevant program employees.
- Secure cash and in-kind sponsorship for organisational priorities, programs, events and representative sporting teams.
- Maintain a clear sponsorship pipeline and register of approaches, commitments, agreements, benefits, renewal dates and relationship actions.
- Coordinate the delivery of agreed sponsor benefits and recognition, working with communications support and program employees to ensure commitments are fulfilled.
- Provide sponsors and partners with meaningful updates about the activities and outcomes their support has enabled, and proactively pursue renewals and expanded relationships.
Stakeholder communication and representation
- Act as a professional and responsive contact for sponsors, donors, suppliers, venues, guests and other event stakeholders.
- Prepare clear event information, invitations, proposals, briefs, correspondence and partner updates appropriate to the audience.
- Work with communications support to coordinate event promotion, fundraising messages, sponsor recognition and post-event acknowledgement.
- Represent Current Horizons Tasmania at meetings, events and community activities and protect the organisation’s reputation through reliable follow-through.
Administration reporting and continuous improvement
- Maintain organised event, fundraising, sponsorship and supplier records that support continuity, evaluation and accountability.
- Provide regular progress, income, expenditure, pipeline and emerging-risk updates to the Chief Executive Officer.
- Monitor agreed targets and deadlines and raise barriers, budget pressures or delivery concerns early.
- Develop and maintain practical event and fundraising templates, checklists, procedures and evaluation tools.
- Contribute to organisational planning, reporting and other reasonable duties consistent with the role.
About you
- Strong project management and organisational capability, including the ability to coordinate multiple events, stakeholders, budgets and deadlines.
- Strong relationship-building and negotiation skills, with the ability to develop trust and maintain professional long-term partnerships.
- Confidence in making direct approaches and asking for support.
- Sound financial administration skills, including event budgeting, expenditure monitoring, income tracking and record keeping.
- Strong written and verbal communication skills, including the ability to prepare persuasive proposals, correspondence, briefs and reports.
- Practical understanding of event risk management, compliance and safe delivery requirements.
- Ability to coordinate employees, volunteers, contractors and suppliers and remain calm and solutions-focused during live events.
- Initiative, persistence and creativity, balanced with strong attention to detail and reliable follow-through.
- Commitment to inclusion and the ability to work respectfully with people with disability, families, volunteers and community partners.
Qualifications and mandatory requirements
- Relevant qualification in event management, fundraising, marketing, business, communications or a related field, or equivalent demonstrated experience, is desirable.
- Current Tasmanian Registration to Work with Vulnerable People, or willingness and ability to obtain it before commencing employment.
- Current driver's licence and capacity to travel statewide.
- Availability to work some evenings and weekends for events and fundraising activities, with notice and in accordance with employment arrangements.
- Satisfactory completion of any pre-employment screening required by New Horizons Tasmania.
General conditions
The preferred base for this position is Launceston, with statewide travel and some work outside ordinary business hours required. Responsibilities may be adjusted by the Chief Executive Officer to meet organisational needs, following appropriate consultation.
