Beaumont&Beaumont; are seeking applications for an Executive Assistant/Paralegal at the APS4 equivalent levelto join the Legal Advice and Legislation Branch of a Commonwealth Government Department in Canberra.

This role is for full-time hours, and for an initial period of around 6 months, with the opportunity for a short extension.

Key Skills and Experience

- Previous work in the legal industry as a Paralegal, Executive Assistant, or doing high level administrative functions in front-of-office roles, and/or providing a full spectrum of support (diary management, matter management, etc) to senior executives/lawyers will be highly regarded.
- Previous experience working in Commonwealth Government Departments, and/or law firms will be highly regarded.
- Extremely strong written and oral communication skills and able to communicate effectively and professionally with internal and external stakeholders.
- Understanding of Government processes, confidentiality requirements, legislative and regulatory frameworks.
- Ability to work under general direction, take initiative, and work well in a team to support other roles and functions.
- Extremely organised, able to work to deadlines and adaptable to change.
- Ability to prioritise, multi-task and display a high level of accuracy and attention to detail.

Duties

- Managing SES staff work schedule including telephone calls, electronic diary appointments, organisation of meetings and relevant papers, and drawing attention to matters of priority
- Acting as the first point of contact and coordination including greeting visitors, receiving and responding to phone calls, emails and correspondence and ensuring a high level of customer service to all staff and external parties
- Providing administrative and paralegal support to the Branch including taking file notes,



Minutes and action items for key meetings, coordination of phone lists, leave register, senate estimates responses, property and accommodation
- Assisting with basic legal research, including locating legislation, instruments, case law, legal guidance material and departmental records to support legal officers
- Assisting with matter intake, triage and tracking, including maintaining matter lists, monitoring deadlines and following up action items with lawyers
- Supporting document management for legal matters, including collating attachments, maintaining accurate records and ensuring documents are saved in accordance with departmental requirements
- Assisting with the procurement of external legal services and tracking of expenditure for outsourced work
- Coordinating meetings with internal and external stakeholders and ensuring the SES has all required information for meetings
- Administering and booking travel including reconciliation and maintenance of all travel and credit card accounts and cost centre codes associated with the General Counsel
- Supporting Senate Estimates preparation

Other Important Information While flexible work or work from home may be available for this role, this will be determined subject to operational needs and approval from the client. Candidates should therefore be prepared for this role to be an in-office role.

To be eligible for this role you must be willing and able to obtain a Baseline Security Clearance with the Australian Government Vetting Agency, or have an existing or recently inactive clearance of that level. As such, you must be an Australian citizen to obtain that clearance.
