About the role The Executive Officer leads the day-to-day operations of GTAV and manages a small team of three direct reports: the Events and Marketing Manager, Member Services and Administration Officer, and Curriculum Resources Manager, to ensure all programs, projects and initiatives are delivered professionally, on time and on budget. These include professional learning events such as the GTAV Annual Conference, VCE Conference, Professional Learning webinar series, workshops, student lectures and events, and a range of GTAV publications including textbooks and curriculum resources.
Reporting to the GTAV President and Management Committee, the Executive Officer is responsible for the overall operational management of the association. This includes membership development, budgeting, financial control, reporting, business development, sponsorship, partnerships and marketing. The role leads implementation of the Strategic Plan, supports the Management Committee in governance and advocacy, and holds overall responsibility for compliance.
Key responsibilities
- Lead and manage a team of three staff, setting clear priorities, providing guidance and support, and overseeing performance to ensure programs are delivered professionally, on time and on budget
- Oversee the design, planning and implementation of all events, including the Annual Conference and VCE Conference
- Oversee day-to-day office management and operations, ensuring the smooth and effective running of the organisation
- Oversee the management of finances ensuring bank signatories are maintained,
and bookkeeping and payroll systems are kept up to date
- Oversee annual budget and operational budgets, sales analysis and forecasting
- Oversee the annual audit ensuring compliance with the Associations Incorporation Act 2012 and Consumer Affairs Victoria
- Develop and inform staff on HR policies; recruit, manage and conduct performance reviews; and oversee all HR functions
- Oversee the functionality, system maintenance and content of the website, online shop and events modules
- Identify sponsorship and funding opportunities, including partners and trade exhibitors at the annual conference
- Oversee the development, production and distribution of publications including textbooks
- Work with the GTAV Executive Committee to develop policies and support governance
About you
- Proven people leader with experience managing a small team, setting direction and building capability to deliver on an organisation's vision and strategic plan
- Experience shaping the structure and operations of an organisation to support clear strategic goals
- Strong financial acumen, including budgeting, forecasting and financial reporting within a compliance-driven environment
- Excellent written and verbal communication skills,
with the conceptual and analytical ability to translate strategy into action
- A track record of building and sustaining positive partnerships with stakeholders, and providing strategic advice, programs and resources
- Highly organised, with the ability to plan, delegate and manage competing priorities and deadlines, and to problem-solve under pressure
- Active commitment to continuous improvement and ongoing professional learning
- Experience in, and commitment to, school education (Geography education highly regarded) and the not-for-profit or volunteer sector
