As our Fertility Services Administrator, you will be at the centre of that experience.

What will your day look like? At the heart of your role will be the coordination of each patient’s fertility journey. You’ll maintain oversight of where each patient is in their care, anticipate what needs to happen next and ensure appointments, referrals, investigations, treatment requirements and follow-up are seamlessly coordinated.
Working closely with specialists, nurses and external providers, you’ll keep communication flowing, patients informed and the many administrative details behind their care moving forward — accurately, thoughtfully and without things falling through the gaps.
Your medical billing expertise will be equally important. You’ll take responsibility for patient billing across the fertility service, including Medicare and private health fund claims, receipting and reconciliations. This is an area where your experience, accuracy and attention to detail will be highly valued, particularly when supporting patients with financial information and ensuring billing processes are managed meticulously from beginning to end.
And because you enjoy the patient-facing side of healthcare too, approximately 1–2 days each week will include reception coverage — welcoming patients and ensuring their experience of the practice is just as warm,
polished and professional in person as it is throughout the rest of their care.
This is a role for someone who enjoys the people just as much as the detail. You take pride in getting the billing right, the documentation right and the administration right — but you also understand there is a patient behind every appointment, account and piece of correspondence.
About you
You are an experienced medical administrator who takes pride in working to a high standard. You are polished and professional, but also naturally warm and approachable. You enjoy taking ownership, you're meticulous with detail and you're comfortable managing multiple priorities without losing sight of the patient experience.
You'll ideally bring:
• 5+ years' experience in medical administration, preferably within specialist, surgical or private practice
• Strong medical billing experience, including Medicare and private health fund billing and reconciliation
• Excellent patient communication and relationship-building skills
• Strong knowledge of medical administration and clinical workflows
• Exceptional organisation, accuracy and attention to detail
• Confidence coordinating multiple aspects of a patient's care
• Experience with practice management systems and CRM tools
• A proactive, calm and solutions-focused approach
• A high level of discretion and professionalism
