Villawood

About Palermo Perfumes

Palermo Perfumes is a rapidly growing Australian fragrance business specialising in high-quality designer-inspired perfumes. Our operations include a national retail network of more than 70 locations, a growing online business, a product range exceeding 1,600 fragrances, a manufacturing facility in Melbourne and distribution operations supporting stores across Australia.

As our retail network continues to expand, we are seeking an experienced Supply and Distribution Manager to lead the operations of our Villawood distribution centre and coordinate the supply of finished products from our Melbourne manufacturing facility.

About the Role

This is the senior functional position responsible for supply, inventory, storage and distribution operations at the Villawood distribution centre.

Reporting directly to senior management, the Supply and Distribution Manager will lead and coordinate a warehouse and distribution team of approximately 10 employees. The position is primarily responsible for distribution-centre management, inventory planning, store replenishment and outward transport.

An important component of the role is analysing sales and consumption data across Palermo’s retail-store network, forecasting product requirements and coordinating production priorities with the Melbourne manufacturing facility. The successful candidate will ensure that finished products are manufactured, transferred, stored and distributed in the required quantities and at the appropriate times.

Key Responsibilities

- Determine, implement and monitor supply, storage, inventory and distribution strategies for the Villawood distribution centre and the retail stores it supports.
- Analyse store-level sales, product-consumption rates, seasonal demand, online orders and historical sales trends to forecast future stock requirements for individual products.
- Prepare regular demand forecasts and production-requirement reports identifying the quantities and timing of products required from Palermo’s Melbourne manufacturing facility.
- Coordinate with the Melbourne production team regarding production priorities, product availability, manufacturing lead times and the transfer of finished goods to the Villawood distribution centre.
- Balance forecast retail demand against production capacity, available warehouse stock and transport lead times to reduce stock shortages, excess inventory and delayed replenishment.
- Develop and implement store-replenishment plans that maintain required stock levels while controlling storage, freight and inventory-holding costs.

- Determine the allocation of new and existing products to individual stores based on sales performance, product demand, store requirements and available inventory.
- Monitor and review inventory and storage systems to maintain accurate stock records, identify slow-moving or unavailable products and ensure reordering and restocking occur at optimal times.
- Oversee regular stock counts, stock reconciliations, returned-product registers, unavailable-product reports and back-in-stock requirements.
- Control the receipt and recording of finished goods and pallets transferred from Melbourne, including consignment documentation, product identification and stock allocation.
- Plan, control and review outward distribution from the Villawood centre to retail stores and other business locations.
- Establish and revise delivery routes as new stores open, determine transport and vehicle requirements and monitor delivery schedules and freight performance.
- Coordinate interstate pallet movements and maintain accurate records showing the products and quantities contained in each consignment.
- Liaise with store managers regarding stock requirements, shortages, returned products, recent-product allocations, store openings and delivery priorities.
- Plan and coordinate the initial supply of perfumes, testers, display materials and other required stock for new retail-store openings.
- Manage relationships with freight providers and operational suppliers and participate in negotiations concerning service quality, cost, delivery timeframes and supply requirements.
- Oversee the recording of purchasing, production-transfer, storage, returns and distribution transactions through Shopify and other inventory and reporting systems.
- Prepare and present supply, inventory, distribution and team-performance reports to senior management.
- Lead, roster and allocate work to approximately 10 warehouse and distribution employees.
- Establish operational procedures and performance standards for receiving, storage, order preparation, dispatch, inventory accuracy and workplace productivity.
- Monitor employee performance, provide training and guidance, address operational issues and ensure that the team meets daily and weekly distribution targets.

- Identify and implement improvements to warehouse layout, storage capacity, inventory controls, distribution processes and reporting systems.
- Ensure that distribution-centre activities comply with workplace health and safety requirements and applicable company procedures.

Qualifications and Experience

The successful applicant will have:

- A bachelor’s degree or higher qualification in logistics, supply chain management, operations management, business, commerce or a closely related field.
- Relevant professional experience in supply, distribution, logistics, inventory or warehouse operations, including demonstrated supervisory or management responsibility.
- Experience managing inventory and replenishment for a multi-site retail, wholesale, manufacturing or consumer-products business.
- Demonstrated experience analysing product sales, consumption rates and stock movements to prepare demand forecasts and replenishment plans.
- Experience coordinating requirements between production or manufacturing operations and a distribution centre.
- Experience leading staff, preparing rosters, allocating work and monitoring employee performance.
- Strong knowledge of inventory control, warehousing, outward distribution, freight coordination and stock-recording systems.
- Experience using Shopify or a comparable inventory, order-management, ERP or retail-reporting platform.

Skills and Attributes

- Strong analytical, forecasting and problem-solving skills.
- Demonstrated leadership and operational decision-making ability.
- Excellent inventory, planning and organisational skills.
- Ability to coordinate effectively with production teams, retail-store managers, transport providers and senior management.
- Strong written and verbal communication skills.
- Ability to manage competing priorities within a fast-growing, multi-site retail environment.
- High attention to detail and a commitment to accurate inventory and transaction records.

What We Offer

- A senior operational role within a rapidly expanding Australian fragrance business.
- Responsibility for a significant retail distribution network and a growing product range.
- The opportunity to lead an established warehouse and distribution team.
- Direct involvement in supply planning, production coordination and continuous operational improvement.

To apply, please submit your résumé and a cover letter outlining your relevant qualifications, supply and distribution experience, leadership background and experience coordinating inventory requirements across multiple locations.
