PURPOSE OF THE POSITION The Operations Supervisor will be responsible for liaising with all internal stakeholders i.e. Operations team, NSW allocators, driver contractors, customer service team, and support these parties in the execution of their duties; as well as external stakeholders i.e. hospitals and clients.
This position is key to ensuring high levels of service are maintained and customer expectations are met.
The Operations
Supervisor will be energetic and passionate about their work and will champion Smartways’ position in the Healthcare Supply Chain, where we strive to deliver solutions that positively impact patient outcomes. You will be customer-focussed, a confident decision maker and a team player.
Roles And Responsibilities
- Support and assist the Smartways South Australia Operations team with the day-to-day leadership and management of a growing, dynamic, owner-driver contractor fleet and operations staff
- Help manage driver contractor and staff recruitment/termination, defining roles/objectives/functions of direct reports, training and motivating staff members/contractors
- Update internal and external stakeholders via the Smartways’ bespoke transport management system and via phone/email/messenger services
- Respond to calls from customer service regarding service disruptions in a timely manner
- Contribute towards non-conformance investigations
- Ensure cut-off times for road and air linehauls are met daily by supporting allocators and driver contractors in South Australia
- Assist fleet and dispatch team with consolidation/de-consolidation of freight at peak periods throughout the day
- Compliance with Australian chain of responsibility (CoR) laws
- Ensuring driver contractor documentation is compliant with required standards and checking regularly to ensure documentation is supplied and updated before expiry
- Reporting daily on DIFOT as well as keeping track of driver absences and liaising with appropriate state allocators to ensure they are able fulfill their functions as required
- Support allocators where required, on both internal issues (i.e. helping Customer Service team with operational functions) or liaising with external stakeholders i.e. clients/hospitals on pertinent issues
- Support operations team with data analysis and reporting
- Support finance team with contractor invoicing queries & clarification of charges
- Daily problem-solving and troubleshooting for operational queries
- Ensure service is provided at all times in line with Safety regulations and Quality Assurance requirements
ACADEMIC QUALIFICATIONS
- Diploma/Certification in Business/Administration
WORK EXPERIENCE AND SKILLS
- Experience working in a similar role (preferably with a national courier company)
- Strong time-management skills, the ability to prioritize tasks, and excellent communication skills to keep the work on track
- Work well within a team environment to achieve a common goal
- Good decision making and problem-solving skills
- Pro-active approach to the task at hand (including providing updates internally and externally)
- Excellent planning skills and a solid geographical knowledge of Australia
- Familiarity with Chain of Responsibility laws
- Ability to work in a fast-paced and dynamic environment
- Experience working in logistics industry (preferrable)
