About the role
We are seeking a Parish Secretary to provide professional, efficient and welcoming administrative support to the Parish Priest and Pastoral Team at the Burdekin Catholic Parish. This is a permanent part-time position working 15 hours per week, with the preferred hours being 9:00am to 12:00pm, Monday to Friday.
This is a varied role that plays an significant part in the day-to-day operation of the Parish, supporting parishioners, families and the Pastoral Team while helping to ensure parish activities and records are well organised and maintained.
Key responsibilities
- Provide a welcoming front reception service, including greeting visitors and assisting parishioners with enquiries.
- Answer and redirect incoming phone calls and respond to general enquiries in a professional and timely manner.
- Manage incoming and outgoing mail, correspondence, filing and general records maintenance.
- Monitor parish supplies and resources and arrange orders as required.
- Prepare documents, newsletters, notices and event information, including materials required for Mass.
- Liaise with contractors and other stakeholders regarding parish maintenance and coordinate works with appropriate approval.
- Provide general administrative support, including maintaining timetables, room bookings, calendars and parish activities.
- Maintain accurate parish records, including recording Baptisms, Weddings and Funerals in Parish Registers.
- Maintain the PADRE database, including entering current families, preparing reports and keeping information up to date.
- Assist with the preparation and administration of Baptisms, Weddings and Funerals, including liaising with families and couples, preparing booklets and completing required documentation.
About you You will be an organised and reliable administration professional who enjoys working with people and can manage a range of competing priorities with accuracy and discretion.
To be successful in this role, you will have:
- A minimum of five years' experience in an administrative role, including general administration, financial or secretarial duties.
- Previous experience providing secretarial or administrative support is desirable.
- Sound computer literacy, including experience with Microsoft Office and Google Workspace.
- Knowledge and understanding of Catholic Parish operations is desirable.
- Excellent attention to detail and a high level of accuracy.
- Strong organisational and time management skills, with the ability to prioritise workloads, meet deadlines and use initiative.
- The ability to work collaboratively as part of a team and provide and receive training when required.
- A high level of professionalism, discretion and confidentiality.
- A commitment to supporting the mission and vision of the Catholic Diocese of Townsville and working in accordance with Catholic Social Teaching.
