Primary objective
Provide operational leadership to regional Patient Travel clerks, ensuring the timely, accurate, customer focussed and cost-effective processing of travel requests, bookings, and reimbursements in compliance with Patient Assistance Travel Scheme (PATS) policy and NT
Health frameworks.
Context Statement The Transport Logistics and Warehousing Division provides NT Health's transport framework. Within this, the Patient Travel team administers PATS, coordinating essential travel and accommodation support to eligible residents.
The PATS Regional Coordinator provides operational leadership to regional based PATS staff.
Key duties and responsibilities
1. Provide operational management, guidance, and training to regional Patient Travel Clerks, fostering a respectful, inclusive, and
culturally safe team culture across regional sites.
1. Check and action travel approval requests, managing complex travel bookings in line with PATS guidelines.
2. Act as the primary contact point of escalation for routine operational issues and complaints, resolving matters directly or responding
via risk reporting systems, email, and written correspondence.
1. Provide high-level operational support and recommendations to the PATS Manager, including preparing routine operational reports,
drafting Standard Operating Procedures (SOPs), and identifying workflow improvements.
1. Liaise and maintain effective communication with internal and external stakeholders, including patients, family members, clinicians,
health clinics, and travel or accommodation providers.
1. Monitor generic mailboxes, message channels, and digital health systems to verify patient travel information and facilitate timely
processing of travel requirements.
1. Ensure staff compliance with mandatory employment and statutory requirements, including Working with Children Clearances,
criminal history checks, training and NT Health induction programs.
Selection criteria
Essential
1. Demonstrated experience in frontline supervision, staff coaching, workflow allocation, and operational team coordination, with the
proven ability to foster a respectful, collaborative, and culturally safe workplace culture.
- Proven experience in coordinating complex travel, scheduling, or transport logistics in a high-volume operational workplace,
including managing competing demands, meeting tight deadlines, and maintaining quality service standards.
- High-level interpersonal and cross-cultural communication skills, with a demonstrated capacity to engage constructively with patients,
clinicians, staff, and external service providers, and resolve routine customer enquiries or complaints with sensitivity.
1. Strong analytical and decision-making skills, with the ability to resolve daily operational issues, apply sound judgment in sensitive
situations, manage operational risks, and escalate complex matters appropriately while maintaining strict confidentiality.
- Sound knowledge of, or a demonstrated ability to interpret and consistently apply, complex administrative policies, guidelines, and statutory frameworks within daily service operations.
- High-level computer literacy and proficiency using corporate databases, spreadsheets, electronic scheduling, or travel management systems to maintain accurate, confidential records.
Desirable
1. Awareness of regional and remote community travel logistics across the Northern Territory, including local transport and
accommodation challenges.

Travel to regional offices is a requirement of this role. Candidates must be willing and able to travel via light aircraft as a condition of employment. Positions are subject to pre-employment checks such as immunisation requirements, working with children clearance notice and criminal history checks.
