About the role
Allianz Australia is delivering a major, multi-year Enterprise Cloud Migration (ECM) program to transition over 100 applications to AWS Cloud.
We are seeking a highly experienced and proactive Program Co-ordinator to support the Program Director and the ECM PMO with governance, reporting, delivery coordination, and stakeholder management.
This role requires strong coordination with multiple Project Managers across squads, ensuring accurate program reporting, maintaining governance artefacts, and supporting the operational rhythm of a complex transformation program.
- Support the Program Director and ECM PMO with day-to-day program operations and delivery cadence.
- Collaborate with Project Managers across multiple squads to gather updates, consolidate risks and issues, and maintain alignment across workstreams.
- Coordinate Agile delivery activities including sprint ceremonies, cross-squad syncs, and release readiness sessions.
- Support migration wave planning, readiness checks, schedule updates, dependency tracking, and RAID management.
- Maintain core artefacts including RAID logs, decision registers, schedules, dashboards, and release calendars.
- Prepare and publish high-quality governance materials including: Steering Committee packs, Executive reports, Working Group updates, and program dashboards.
- Create ad-hoc governance packs from scratch, including storyline, structure, visuals, and data consolidation based on stakeholder requirements.
- Capture and distribute accurate, detailed meeting minutes, decisions, and follow-up actions.
- Ensure governance artefacts are always up-to-date, consistent,
and aligned with program reporting standards.
- Facilitate alignment between squads, technical leads, business owners, global teams, and vendor partners.
- Provide structured communication and support timely decision-making across the program.
- Support the PMO with resource forecasting, financial tracking, program controls, and compliance documentation.
- Ensure consistent application of PMO templates, delivery frameworks, and reporting standards across squads.
- Assist with documentation quality reviews, version control, and continuous improvement of PMO processes.
- Support enhancements to program processes, governance rhythms, reporting structures, and delivery frameworks.
- Apply Lean and Continuous Improvement methods to uplift efficiency, accuracy, and delivery consistency.
- Provide guidance and coaching to project teams on PMO best practices and documentation quality.
- Maintain documentation and program data using:
Jira, Confluence, PPMC, ServiceNow, MS Project, MS 365, SharePoint, Webex, MS Teams.
- Build and maintain trackers, templates, dashboards, and structured documentation repositories.
- Ensure documentation is easily accessible, professionally formatted, and aligned with stakeholder expectations.
About you
- 7+ years’ experience across PMO, program coordination, or delivery roles in Program, Portfolio, or Transformation environments.
- Experience coordinating large-scale programs with multiple Project Managers, vendors, and technical squads.
- Demonstrated experience supporting Program Directors, Program Managers, or PMO Leads in complex technology transformation initiatives.
- Strong background in governance, RAID management, executive reporting, and maintaining enterprise PMO artefacts.
- Experience in cloud migration or large-scale technology programs (preferred).
- High level of working knowledge in Agile delivery and Agile ceremonies, including stand-ups, sprint planning, reviews, retrospectives, backlog refinement, and PI planning.
- Expert ability to create ad-hoc governance packs from scratch, developing executive-level presentations quickly and with minimal guidance.
- Strong capability in capturing and distributing professional meeting minutes,
actions, and decisions.
- Advanced skills in preparing professional governance packs tailored to Steering Committees, Executives, Architecture Forums, and Working Groups.
- Strong multitasking ability, with the capability to self-prioritise and manage competing priorities under demanding timelines.
- Experience working with high-demand senior stakeholders, including CIO-level and global executives.
- Proficiency in tools including Jira, Confluence, MS Project, ServiceNow, PPMC, MS 365, SharePoint.
- Highly organised, proactive, and detail-oriented with strong ownership.
- Ability to work under pressure, meet tight deadlines, and maintain composure in high-demand environments.
- Strong interpersonal and communication skills, with the ability to work closely with senior stakeholders and diverse teams.
- Independent and confident in prioritising tasks, escalating issues, and driving clarity in ambiguous situations.
- Committed to producing polished, executive-ready materials with exceptional attention to detail.
