This is a varied and fast-paced role combining reception, administration, accounting support and personal assistant duties. You will operate in a high-volume environment, so you must be efficient, organised and comfortable managing multiple tasks and competing priorities.
Key responsibilities
- Answering incoming calls and responding to general client enquiries
- Greeting clients and managing reception
- Booking and confirming client appointments
- Managing emails, correspondence and general office administration
- Scanning, filing and maintaining client records
- Preparing and sending client documents
- Assisting accountants with client files and documentation
- Data entry and basic bookkeeping/accounting tasks using Xero
- Assisting with ATO and ASIC administration and correspondence
- Providing personal assistant support to the Directors, including diary management, appointments, correspondence and general administrative tasks
About you
- Previous Xero experience – essential
- Previous experience in reception, administration, bookkeeping or accounting support
- Comfortable managing a high-volume workload in a fast-paced professional environment
- Efficient, highly organised and able to prioritise effectively
- Demonstrate integrity, reliability and a strong work ethic
- Excellent attention to detail while completing work efficiently
- Friendly, confident and professional manner
- Strong written and verbal communication skills
- Proactive and able to work with minimal supervision
- Trustworthy and discreet when handling confidential client and business information
