Job Description
This is an chance to support a growing portfolio of property projects across Victoria, spanning new builds, refurbishments, fit-outs, and site improvements.
n You will work alongside experienced project managers, consultants, contractors, and senior stakeholders to keep projects moving efficiently.
n The role combines project coordination, governance, documentation, financial administration, procurement, and stakeholder engagement.
n You will help establish strong project controls while monitoring schedules, milestones, budgets, risks, and deliverables.
n Your work will directly contribute to projects that improve workplaces, facilities, and the environments supporting essential community services.
n The position offers exposure to diverse property initiatives and an opportunity to strengthen your project management capabilities.

Accountabilities
n
n
- Provide day-to-day project coordination and specialist support to Property Project Managers, including scheduling meetings, preparing agendas, minutes, reports, presentations, briefings, correspondence, and other project documentation.
n
- Coordinate and maintain project governance processes, including risk and issue registers, project records, reporting frameworks, and compliance documentation.
n
- Prepare project scopes, briefs, artefacts, and supporting materials while contributing to the delivery of property projects with limited supervision.
n
- Monitor project schedules, milestones, deliverables, budgets, and dependencies, identifying emerging risks and recommending corrective actions.
n
- Support financial administration by raising purchase orders, processing invoices, tracking project expenditure, and preparing financial reports.
n
- Assist with procurement, resource planning, budget management,
and other project controls in accordance with established frameworks and guidelines.
n
- Support the delivery of fit-outs, refurbishments, site improvements, and other property-related works across Victoria.
n
- Build and maintain effective relationships with internal and external stakeholders, including senior leaders, consultants, contractors, delivery partners, and project teams.
n
- Support project governance, safety, regulatory, and organisational compliance requirements throughout the project lifecycle.
n
- Use project management systems and project data to provide meaningful insights, support decision-making, and help maintain delivery momentum.

Requirements
n
n
- Demonstrated experience in project coordination, project support, or project administration, ideally within property, construction, facilities management, commercial, retail, or a related environment.
n
- Experience supporting small property projects, including fit-outs, refurbishments, facilities improvements, or capital works.
n
- Strong organisational and prioritisation skills, with the ability to coordinate multiple activities and deadlines in a fast-paced environment.
n
- Proven ability to build positive and productive relationships with stakeholders across different levels and functions.
n
- Experience using project management systems and interpreting project information to identify trends, risks, issues, and opportunities for improvement.
n
- Strong capability in preparing project documentation, including status reports, meeting minutes, presentations, project briefs,
correspondence, and governance materials.
n
- Excellent written and verbal communication skills, with the confidence to communicate clearly with project teams, senior stakeholders, contractors, and external partners.
n
- Sound financial administration skills, including purchase orders, invoice processing, expenditure tracking, and project budget support.
n
- Exceptional attention to detail and a commitment to maintaining accurate, complete, and well‐organised project records.
n
- A proactive, adaptable, and solutions‐focused approach, with the initiative to identify issues and contribute to practical solutions.
n
- A genuine interest in developing a career in property project delivery and the ability to learn quickly in a changing environment.
n
- A Diploma in Project Management or a related discipline is desirable.
n
- Experience across property projects, facilities management, construction, fit‐outs, refurbishments, or capital works programs is advantageous.
n
- Applicants must have the legal right to work in Australia and be able to provide appropriate documentation. For this position, you must be predominantly located in Australia.
