We’re looking for a Premium Hospitality Administrator to join our Commercial team and support the delivery of Premium Hospitality across NRL Major Events.
The Role
Reporting to the Premium Hospitality Manager, you will be responsible for accurately managing hospitality sales data and inventory across NRL Major Events.
You will work closely with the Hospitality, Sales, Partnerships and Finance teams to ensure sales, inventory, invoicing and payment information is accurately captured and maintained across relevant systems. You will also provide reliable reporting and administrative support to enable effective revenue management and informed decision-making.
Key Responsibilities
In this role you will:
- Maintain accurate and up-to-date hospitality inventory across all relevant systems.
- Reconcile hospitality sales against inventory allocations and promptly resolve discrepancies.
- Monitor inventory holds, releases and allocations in collaboration with key internal teams.
- Prepare regular sales and inventory reports, highlighting potential risks and opportunities.
- Maintain accurate customer and stakeholder information across relevant systems.
- Raise invoices, process customer payments and reconcile financial reports.
- Prepare internal cross-charges and ensure costs and revenue are correctly allocated across events and cost centres.
- Coordinate post-event financial reconciliations, including revenue validation and issue resolution.
- Prepare hospitality cost accruals, ensuring currency conversions and supporting summaries are accurate.
- Create and distribute hospitality booking forms and online sales links for internal and external sales agents.
- Support government reporting requirements relating to hospitality customer attendance.
- Manage the NRL Hospitality inbox and ensure enquiries are responded to or actioned within one business day.
- Prepare and distribute on-sale communications to relevant stakeholders.
- Coordinate client feedback surveys and support post-event debriefs.
- Manage competing sales, inventory, invoicing, payment and reporting deadlines across multiple events.
- Identify and implement opportunities to improve hospitality systems, processes and controls.
- Proactively identify and resolve issues before they impact event delivery or revenue.
About You
Ideally you will have:
- Tertiary qualifications in Business Management, Administration, Event Management or a related discipline, or equivalent relevant experience.
- Three to four years’ experience in an administration, finance, inventory or sales support role.
- Advanced Microsoft Office skills, particularly Microsoft Excel.
- Solid financial acumen and experience with invoicing, payments and reconciliations.
- Excellent organisational and time-management skills.
- Strong attention to detail and a commitment to maintaining accurate data.
- The ability to manage multiple events, projects and competing deadlines simultaneously.
- Clear written and verbal communication skills.
- Strong stakeholder relationship and customer service skills.
- A proactive approach to problem-solving and continuous improvement.
- Experience using online sales or event-management platforms, particularly Event Chain and Monday.com, is desirable.
- Project management experience is highly desirable.
