We're seeking an experienced Facilities Administrator to provide immediate support within a busy and complex operational environment. This is not a role for someone looking to learn the fundamentals. We're looking for a professional who can quickly understand the landscape, build credibility with stakeholders and contribute from the outset, while supporting a smooth transition over the course of the engagement.
Working closely with facilities, operational and service delivery teams, you will play a critical role in ensuring administrative processes, compliance requirements and contractor management activities are delivered efficiently and accurately.
What you'll be doing
- Coordinating facilities administration activities across multiple sites
- Managing work orders, maintenance requests and service delivery records
- Supporting contractor engagement, documentation and compliance requirements
- Processing invoices, reporting and data management activities
- Maintaining accurate records and document control processes
- Reviewing, updating and formatting policies, procedures and operational documentation
- Supporting SharePoint administration, document libraries and workflow processes
- Building strong working relationships with internal stakeholders, contractors and service providers
- Identifying opportunities to improve processes, consistency and operational efficiency
What we're looking for To be successful, you'll bring proven facilities administration experience within a complex environment such as property, healthcare, aged care, community services or a multi-site organisation.
You'll also demonstrate:
- The ability to step into an established team and contribute effectively with minimal onboarding or supervision
- Strong knowledge of facilities management processes, including work order management,
contractor coordination, compliance administration and service delivery support
- Experience managing a high volume of administration while maintaining exceptional accuracy and attention to detail
- Previous exposure to TechnologyOne (TechOne) or similar facilities management systems
- Strong stakeholder engagement and communication skills, with the ability to work effectively across a broad range of internal and external relationships
- Experience developing, reviewing and maintaining policies, procedures and operational documentation
- Practical SharePoint capability, including document management, version control and records administration
- A proactive approach, sound judgement and the ability to manage competing priorities in a fast-moving environment
