Turn a busy practice owner’s priorities into a calm, workable plan—and make sure it gets finished.
Keppel Dental is a long-established, family-run dental practice serving Central Queensland since 1977. Today, we operate from a modern 10-chair oral health facility with an in-house lab, progressive digital technology and a capable, friendly team.
Our practice owner, Luke Christensen, is looking for a trusted right hand who can protect his attention, bring order to competing priorities and keep important work moving.
This is not simply a diary-management role. It combines senior executive assistance, selected practice projects and a defined amount of personal administration. It will suit someone who enjoys creating clarity, closing loops and respectfully challenging priorities when everything cannot happen at once.
What you’ll own
- Manage Luke’s calendar, inbox, meetings and competing priorities
- Build a reliable daily and weekly planning rhythm
- Turn discussions and loosely defined requests into explicit actions, owners and deadlines
- Prepare concise correspondence, meeting notes, updates and decision briefs
- Track commitments and follow up team members, suppliers and external partners
- Coordinate selected practice projects and approved administrative workflows
- Help keep scheduling, laboratory administration and implementation projects on track
- Identify delays, conflicts and risks early rather than waiting for them to become problems
- Build simple, repeatable systems without introducing unnecessary complexity
- Handle sensitive business and personal information with excellent judgement
- Coordinate a defined amount of personal administration—approximately 15% of the role—including appointments,
travel, household suppliers and occasional purchases
Personal administration will take place within agreed boundaries and normal working hours. This is not a permanently on-call position.
What success looks like
- Luke’s calendar reflects his real priorities and retains enough space for focused work
- Decisions and commitments are captured, assigned and followed through
- Projects have clear owners, deadlines and visible status
- Problems are raised early, with sensible options rather than surprises
- Recurring administrative processes continue without depending on someone’s memory
- Luke and the wider team have greater clarity, fewer dropped balls and a more sustainable working rhythm
What you’ll bring
- Substantial experience in senior executive support, founder support, operations coordination, practice administration or a comparable role
- A demonstrated ability to support a busy leader with multiple competing priorities
- Excellent written communication, organisation and attention to detail
- The confidence to question priorities, negotiate deadlines and follow people up respectfully
- Strong judgement about what you can decide, what you should recommend and what must be escalated
- A practical approach to systems and technology
- The ability to learn new software and work confidently with carefully governed AI-assisted tools
- Discretion, reliability and mature handling of confidential information
- Full Australian working rights and the ability to work primarily on-site in Yeppoon
Experience in dental, healthcare or professional services would be useful, but it is not essential. You will help coordinate approved patient-administration and practice workflows, but you will not make clinical decisions, determine treatment suitability or direct clinical care.
What we offer
- $90,000–$105,000 plus superannuation
- A permanent, full-time Monday–Friday position with no routine weekend work
- Direct access to the practice owner and genuine influence over how work is organised
- Clear authority to improve systems and protect agreed priorities
- Varied work with visible, meaningful results
- A friendly, established team in a progressive family-owned practice
- Professional development and scope to grow into broader operational responsibility
How to apply
Apply through SEEK with your résumé and a short response of no more than 300 words to this question: Tell us about a time you brought structure to a busy leader’s competing priorities or recovered a project that was beginning to slip. What did you do, and what was the result?
Applications addressing this question will be prioritised.
Shortlisted candidates will complete a brief paid practical exercise using fictional information. This will let both sides assess the real work rather than relying solely on interview performance.
For genuine pre-application questions, contact Luke Christensen at
