Help deliver mission-critical Defence programs through exceptional governance, coordination and program support.

About the Opportunity

We are seeking an experienced Senior Program Support Coordinator to provide high-level administrative, governance, operational and financial support across a portfolio of Defence programs. Working closely with Program Managers, Defence representatives, subcontractors and internal teams, you will help ensure contractual obligations, reporting requirements and program outcomes are delivered accurately and on schedule.

This is a senior, hands-on coordination role for someone who brings sound judgement, thrives in a complex and highly regulated environment, and can maintain oversight of multiple priorities throughout the program lifecycle. When required, you may act in a Deputy Program Manager (Governance) capacity to maintain continuity of program execution and governance oversight.

What You’ll Do

- Provide senior program support across multiple Defence projects in accordance with contractual requirements, company policies, governance frameworks and applicable Defence standards.
- Manage Contract Data Requirements List (CDRL) deliverables, including schedules, progress tracking, stakeholder inputs, quality checks and timely contractual submission.
- Coordinate the preparation, review, formatting, quality assurance and finalisation of program reports and other submission-ready documentation.
- Establish and administer program document management systems, maintaining configuration control, version control, accurate records and audit readiness.
- Prepare governance documentation, program management review materials, status reports, briefs, agendas, meeting minutes and action registers, and follow up assigned actions.
- Support contract performance monitoring and financial administration activities.




- Build effective working relationships with Defence representatives, subcontractors, internal functional teams and senior stakeholders to resolve governance and administrative matters.
- Contribute specialist support across programs and business areas in a matrixed environment.
- Identify and implement improvements to program processes, reporting quality, governance effectiveness and administrative efficiency.
- Act as delegate for the Deputy Program Manager (Governance) when required.
- Provide occasional after-hours or on-call support during critical milestones, exercises, peak periods or contractual reporting cycles.

About You You are an organised and proactive program support professional who can confidently manage complex assignments with minimal supervision. You communicate clearly, exercise sound judgement and collaborate effectively with stakeholders at all levels.

To be successful, you will bring:

- Four to six years’ relevant experience in program coordination, project support, contract administration or a related role.
- Experience in a Defence or government contracting environment (desirable).
- A strong understanding of Defence compliance, governance and documentation standards (desirable).
- Demonstrated capability in managing complex administrative and support activities.
- Considerable judgement, initiative and confidence in resolving problems and proposing improved processes.




- The ability to determine effective approaches to new or challenging tasks and operate with minimal supervision.
- Strong organisational, written and verbal communication, and stakeholder engagement skills.
- Proficiency in Microsoft Office and SAP.
- A collaborative approach and the ability to contribute across multiple teams and priorities.

Security and Employment Requirements Appointment and ongoing employment are subject to:
- A satisfactory National Police Check.
- The ability to obtain and maintain an Australian Government security clearance up to AGSVA NV1.
- A current open driver licence.
