Due to the ongoing administrative and operational requirements of the business, SIGCLEAN is seeking a suitably qualified and experienced Office Manager to join our team on a permanent full time basis.
n
About the Role
n
The Office Manager will be responsible for organising, coordinating and managing the day-to-day administrative and operational activities of the office.
n
The successful candidate will work closely with management, employees, professionals, contractors, suppliers and other relevant stakeholders to ensure the efficient operation of SIGCLEAN's office and administrative functions.
n
The position requires strong organisational, administrative, personnel-management, computer and communication skills, together with the ability to manage multiple priorities within a busy commercial services environment.
n
Key Duties and Responsibilities
n
n
- Contributing to the planning and review of office services and establishing priorities and office service standards.
n
- Planning, organising and coordinating office administrative systems and procedures.
n
- Reviewing office operations and recommending improvements to administrative processes and procedures.
n
- Allocating human resources, office space, equipment and other resources according to operational requirements.
n
- Assigning work to office and administrative staff and monitoring their work performance.
n
- Supervising, coordinating and supporting administrative and office personnel.
n
- Managing and maintaining office records, accounts, correspondence and administrative documentation.
n
- Maintaining accurate electronic and physical filing and record-management systems.
n
- Liaising with management, professionals, employees, suppliers, contractors and other relevant parties to coordinate office business and facilitate the resolution of administrative and operational issues.
n
- Coordinating communications between management, administrative personnel and operational staff.
n
- Ensuring office equipment, computer systems, stationery and other office supplies are properly maintained and available as required.
n
- Coordinating the maintenance, servicing and replacement of office equipment and facilities where necessary.
n
- Ensuring compliance with occupational health and safety requirements and relevant workplace procedures.
n
- Ensuring office activities comply with applicable government legislation, policies, procedures and organisational requirements.
n
- Coordinating personnel activities including recruitment, hiring, staff induction, promotions, performance management, payroll administration, staff training and supervision.
n
- Assisting with the preparation and maintenance of staff employment and personnel records.
n
- Assisting management with the development, implementation and review of administrative policies and procedures.
n
- Monitoring administrative processes and identifying opportunities to improve office efficiency and service standards.
n
- Coordinating meetings, appointments, internal communications and general administrative activities.
n
- Supporting management with the day-to-day administrative and operational requirements of the business.
n
- Coordinating administrative support for SIGCLEAN's commercial cleaning and facilities-service operations.
n
- Preparing reports, correspondence, spreadsheets and other business documents as required.
n
- Maintaining confidentiality and security of business, employee and client information.
n

Qualifications and Experience
n
To be considered for this position, applicants must have:
n
n
- A minimum Diploma of Business or an equivalent relevant qualification; and
n
- At least one year of relevant work experience in a similar Office Manager, office administration or administrative management role.
n
n
Computer Knowledge and Technical Skills
n
The successful applicant must have strong computer literacy and demonstrated ability to use computerised office and administrative systems.
n
Required computer skills include:

- Proficiency in Microsoft Office applications, including Word, Excel, Outlook and PowerPoint.
n
- Ability to prepare and maintain spreadsheets, reports, correspondence and business documents.
n
- Experience using computerised office-management and administrative systems.
n
- Ability to use payroll, accounting, invoicing and record-management software.
n
- Ability to maintain electronic records, databases and digital filing systems accurately.

- Confidence using email, cloud-based platforms, shared drives and online business systems.

- Ability to enter, update and retrieve business and personnel information from computerised systems.

- Ability to learn and use new business software and digital systems as required.

Employment Conditions

This is a permanent full-time position based at SIGCLEAN's National Head Office in: Heidelberg West, VIC 3081

Salary: $80,000 per annum plus superannuation.
