About the role

Specialist Orthodontists Sydney is seeking an Experienced Orthodontic Treatment Coordinator to join our agile team in Campbelltown, NSW. This is a part-time position (32 hrs) based on-site at our practice. As Treatment Coordinator, you will play a vital role in ensuring seamless patient experiences from initial consultation through to treatment completion. You will be the crucial link between our clinical team and patients, managing appointments, coordinating treatment plans, and maintaining exceptional communication throughout each patient's orthodontic journey. This position is strategically key to our practice, as it directly impacts patient satisfaction, treatment outcomes, and the overall efficiency of our operations.

Key responsibilities

- Conduct thorough patient consultations and gather comprehensive treatment history and medical information

- Present treatment plans to patients, explaining procedures, timelines, and financial options in a clear and professional manner

- Coordinate treatment scheduling with orthodontists and support staff to ensure effective case management

- Process treatment authorisations and coordinate with insurance providers where applicable

- Monitor patient progress and ensure adherence to treatment protocols and appointment compliance

- Maintain detailed and accurate patient records, including clinical notes and treatment documentation

- Handle patient queries and concerns, escalating complex issues to clinical staff as necessary

- Issue treatment costs, fees, and payment arrangements, ensuring patients understand financial obligations

- Support the clinical team by preparing treatment areas and ensuring all necessary materials are available





- Maintain a professional and welcoming reception environment

What we're looking for

- Minimum 3–5 years' experience as an Orthodontic Treatment Coordinator or similar clinical coordination role within an orthodontic practice

- Proven experience in treatment coordination, and clinical documentation

- Strong understanding of orthodontic terminology, procedures, and treatment planning principles

- Excellent communication skills with the ability to explain complex treatment information to diverse patient populations

- Proficiency in dental practice management software and electronic health records systems

- Demonstrated ability to manage multiple tasks simultaneously whilst maintaining accuracy and attention to detail

- Outstanding organisational and time management skills

- Patient-focused mindset with a genuine commitment to delivering exceptional customer service

- Ability to work collaboratively with orthodontists, hygienists, and administrative staff

- Skilled demeanour and the capacity to build strong patient relationships

- Current First Aid and CPR certification (or willingness to obtain)

- Desirable: Experience with insurance claims and treatment authorisation processes

- Desirable: Knowledge of NSW dental regulations and orthodontic best practice standards
