About the role:
Our Victoria team is looking for a friendly, hands-on and organised Event Coordinator to support the State Event Manager with the planning and delivery of graduation events. This is a practical and varied role that combines administration, logistics coordination, warehouse preparation, in office event delivery and exceptional customer service. A key part of the role involves physical work, including preparing, packing, moving and organising stock, equipment, academic dress and event materials before and after events. No two universities, ceremonies or event days are the same, so we’re looking for someone who enjoys variety, can stay organised in a high-energy events setting, is confident supporting and managing casual event teams, is happy to work varied hours when required, and is willing to travel interstate occasionally to support events.
Your responsibilities will include:
- Coordinate graduation events, including planning, administration, system updates, timelines and client requirements
- Manage event logistics, including stock, equipment, floorplans, bump-in/bump-out, setup and on-site event flow
- Complete hands-on warehouse and event preparation, including lifting, packing, moving, sorting and organising materials
- Deliver exceptional customer service to graduates, guests, university partners and internal stakeholders
- Support, brief and coordinate casual team members during preparation, event delivery and pack-down
- Work varied hours during peak event periods and travel interstate occasionally as required
About You: We are looking for someone who has:
- Around 2–3 years’ experience in events or events qualification/degree, with casual event experience and a genuine passion to progress your career in the events industry
- A practical, hands-on approach and willingness to complete physical work, including lifting, packing and moving stock and equipment
- Strong communication, customer service and team coordination skills, with confidence working with clients and casual teams
- Computer literacy, adaptability under pressure and a positive, values-led approach
- Flexibility to work varied hours during busy periods and travel interstate occasionally when required
