Madderns is Adelaide’s leading Patent & Trade Mark Attorney firm providing specialist advice and assistance to high profile Australian and overseas clients in relation to intellectual property (IP) law including patents, trade marks, and designs.

We are seeking a full-time Renewals Administrator to perform various administrative processing tasks for the renewal of patents, trade marks and designs for our clients and associates. If you are a computer savvy individual who has impeccable attention to detail with a strong focus on accuracy, then we want to hear from you!

IP Administrators, IP Records Clerks, IP Docketing Clerks, and junior Legal Assistants/Secretaries are encouraged to apply. Remote candidates with existing IP Renewals and Inprotech experience are also encouraged to apply.

The Role

The Renewals Administrator is responsible for the efficient and timely processing of local and foreign renewals relating to patents, trade marks and designs.

Responsibilities may include:

- Reviewing and analysing incoming correspondence, emails and instructions.

- Processing incoming emails and instructions, preparing quotes, sending renewal reminders, sending correspondence, preparing invoices, paying official fees, and monitoring renewal deadlines.

- Reviewing and processing reminders and to-do lists.

- Corresponding with overseas associates regarding renewal costs for patents, trade marks and designs.

- Processing instructions for payments, including invoicing clients.

- Making renewal payments through various IP Office Portals.

- Updating our IP database (Inprotech) to satisfy policing requirements and deadlines.

- Entering other critical information in our IP database (Inprotech) to ensure records are correct.

- Importing and saving incoming electronic documents into our Document Management System (iManage).





- Liaising with clients and attorneys.

- Preparing various reports.

- Assisting the Records Team with incoming correspondence, data entry, entering records and checking data.

- Performing other general administrative tasks for the Madderns team as requested.

What We Are Seeking

To be considered for this role, you will have previous experience in an administrative, information processing, IP renewals, records or data entry role. You will also have experience working in an office environment, preferably within the IP sector, a legal services firm or a skilled services firm. In addition, you will be able to demonstrate the following:

- Excellent computer and typing skills, including experience using Microsoft Office Applications (MS Outlook, Word and Excel).

- Proven ability to quickly learn and retain new concepts, systems and processes.

- Highly accurate data entry skills.

- An understanding of financial and billing processes.

- Experience and confidence using electronic filing systems and document management systems or case management software.

- High level of attention to fine detail and accuracy.

- Proven ability to exercise judgement, set priorities, and balance work tasks to meet deadlines.

- Proven ability to handle a high volume, deadline driven workload.

- Proven experience handling confidential information with discretion.

- Fluency in English (both verbal and written), with the ability to read, understand and interpret complex information.

- Enthusiasm, a positive attitude and an appetite for learning.

- Strong client service approach and attitude, including a sense of urgency when required.

- Well organised, efficient and able to turn work around quickly.

- Ongoing right to work in Australia.





Highly desirable:

- Experience working in an Intellectual Property (IP) firm, or for an IP team within a law firm.

- Knowledge of intellectual property terminology and administrative processes.

- Experience and skill using Inprotech (IP case management software).

Knowledge of the intellectual property or the trade marks and patents industry will be an advantage, but is not essential. Extensive on-the-job training will be provided for the successful candidate.

We are looking for a reliable, team-focussed individual who can work 37.5 hours per week across all 5 week days.
