Are you an experienced Personal Assistant or Executive Assistant who thrives in a fast-paced environment where no two days are quite the same? Do you have the confidence, judgement and organisational nous to be the person who keeps a senior leader focused, informed and on track?

We are looking for an exceptional Personal Assistant to the Director Infrastructure Services to provide high-level executive and secretarial support to a busy Director overseeing a diverse and important portfolio of work.

This is a role for someone who understands that outstanding executive support is about much more than managing a calendar. You will be the trusted gatekeeper and organisational anchor for the Director — managing a complex diary, prioritising competing demands, coordinating key internal and external meetings, preparing agendas and briefing materials, keeping actions moving and ensuring the Director is in the right place, at the right time, with the right information. You will liaise confidently with senior managers, Councillors, the Mayor, government departments, other councils and a wide range of stakeholders, using your judgement to know what needs the Director’s attention and what can be handled, delegated or progressed on their behalf.

You will also work closely with the four managers within the Infrastructure Services directorate, providing administrative support where required and helping keep track of actions, information and deadlines across the team. There will be variety beyond the day-to-day executive support, including special projects, research and information gathering, secretarial support for advisory committees, meeting and event coordination, preparation of Council Business Paper material and assistance with reports, correspondence and presentations. You’ll collaborate with the Executive Assistant to the General Manager and other Personal Assistants across the organisation as one team, sharing information, improving processes and supporting each other to deliver a consistently high standard of executive support.

We are looking for someone assertive, organised, empathetic and highly professional, with demonstrated experience supporting a senior executive, Director or similarly senior leader — this experience is essential. You will be an exceptional communicator who can build rapport with a diverse range of people while remaining discreet and objective when dealing with confidential or sensitive matters. You’ll be comfortable juggling competing priorities, confident making decisions about what needs to happen next, and proactive enough to spot issues before they become problems. A Certificate or Diploma in Business Administration or a related field, strong Microsoft Office skills and a current NSW Class C Driver Licence are required. Previous local government experience and knowledge of Council systems, governance and processes would be highly regarded, as would experience with other corporate systems and the ability to write engaging and creative content when required.

You’ll join a diverse, knowledgeable and dedicated Infrastructure Services team with a broad portfolio and plenty of variety. The four managers you’ll support each bring different personalities, perspectives and working styles,



but share a strong commitment to delivering for the community. Your ability to bring information, people, priorities and processes together will make a genuine difference.

This position is located in the beautiful town of Coonabarabran, known as the Astronomy Capital of Australia, which is midway between Melbourne and Brisbane and is known for its beautiful landscape and stunning night skies. The town has medical services, excellent schools, a variety of sporting and social clubs and a thriving tourism Industry. With the nearby Warrumbungle National Park, which is also Australia’s first Dark Sky Park, there is plenty to do and explore whether you’re looking for adventure or relaxation.

Selection criteria include:

- Certificate or diploma-level qualification in business administration or a related field.
- Demonstrated experience in providing executive or senior-level administrative support.
- High-level organisational skills, with proven ability to manage multiple priorities and meet deadlines.
- Excellent written and verbal communication skills, including preparation of professional correspondence, reports and minutes.
- Strong interpersonal skills with the ability to build and maintain effective relationships with internal and external stakeholders.
- High level of proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and other relevant systems.
- Demonstrated ability to handle confidential and sensitive matters with discretion and professionalism.
- Strong problem-solving skills and initiative in managing tasks independently and within a team environment.
- Commitment to providing high-quality customer service.
- Current NSW Class C Driver Licence.

It is a plus if you have previous experience working in local government or a comparable environment and knowledge of Council systems, processes and governance requirements.

Council's normal practice is to appoint at the entry salary for the grade. A higher commencing salary may be approved where an applicant can demonstrate significant directly relevant qualifications, skills and experience.
