MW Civil & Earthmoving is a WA owned and operated civil contracting company specialising in Civil Engineering solutions within the mining, energy and defence sectors.

Our business operates across all regions of Australia.

We are seeking EOI’s from experienced Contracts Administrators to support civil projects from planning to completion. This position requires flexibility to work across Western Australia, Northern Territory and metro areas.

Key Responsibilities:
Prepare, review, and administer subcontract agreements, purchase orders, variations, and commercial documents
Track and manage the lifecycle of contract documentation from award through to close-out
Review client and subcontractor terms to ensure commercial compliance and minimise project risk
Draft, submit, and follow up project variations and extensions of time

Project Financials & Reporting
Assist with cost tracking, cost-to-complete reporting, and project financial forecasting
Maintain accurate registers including variations, RFIs, progress claims, subcontractor payments, purchase orders,



and project budgets
Support monthly progress claims, invoice reconciliation, and project financial reporting

Project Coordination & Communication
Liaise with internal stakeholders, site supervisors, clients, and subcontractors to ensure accurate flow of information
Assist with procurement, supplier engagement, and coordinating project materials/services
Compile and maintain project documentation, schedules, and project correspondence

Compliance & Administration
Ensure all contractual and procurement processes meet MW Civil’s policies, WHS requirements, and client standards
Maintain up-to-date records in company systems (e.g., procurement portals, financial systems, project files)
Support mobilisation requirements by coordinating onboarding documents, tickets, inductions, and compliance checks

Job Type: Full time

Pay: $70,000.00 – $80,000.00 per year
