About the role
Your primary responsibility will be to contact customers who have appointments scheduled for the following day and confirm that the date, time and appointment details are still convenient. These are warm customers who have already requested and booked an appointment — there is no cold calling or prospecting involved. You will play an significant role in making sure our consultants arrive at appointments where the customer is expecting them, prepared and ready to meet.
Key responsibilities
Call all customers with appointments scheduled for the following day
Confirm the appointment date and time is still suitable
Confirm the customer will be available and ready for the appointment
Answer basic questions about the appointment and ensure customers know what to expect
Identify customers who need to reschedule and coordinate a suitable alternative
Update appointment and customer information accurately in our CRM
Communicate any significant information or changes to the relevant team members
Help minimise cancellations,
missed appointments and no-shows
Provide a warm, qualified and reassuring customer experience on every call
About you
Confident and comfortable speaking with customers over the phone
Warm, friendly and naturally conversational
Highly organised and able to follow a daily process consistently
Reliable and punctual
Comfortable using computers, CRM systems and basic software
Detail-oriented and accurate when recording information
Able to handle customers who need to change or cancel appointments professionally
Comfortable speaking with an older demographic
Proactive and able to identify potential issues before they become problems
A team player who takes pride in doing a job properly
