This newly created role presents an exciting opportunity for a confident, motivated and solutions-focused leader to join our team of dedicated medical receptionists and highly regarded clinicians.

Partnering closely with the Practice Manager, you will play a key role in supporting the efficient day-to-day operations of the practice, ensuring the seamless delivery of exceptional patient care, and contributing to the continued growth and performance of the business. This leadership role is responsible for overseeing a team of Medical Receptionists, driving operational excellence, and ensuring the effective coordination of clinical and administrative functions across the practice.

Key Responsibilities:

- Lead coach and mentor a team of 8 Medical Receptionists, fostering a culture of exceptional service and support for clinicians, patients and their families.

- Oversee workflow distribution and staffing allocation to maintain optimal service delivery across the practice.

- Monitor team performance, provide constructive feedback, and implement development strategies to enhance productivity and service standards.

- Implement strategies to optimise clinician scheduling and diary utilisation, maximising appointment capacity, reducing wait-times and supporting the practice's ongoing financial performance.

- Oversee the operational readiness, inventory control, and upkeep of 24 consulting rooms and two waiting areas, supporting seamless day-to-day operations.

- Serve as our practice management software expert, delivering onboarding, training, and ongoing support to clinicians and staff to maximise system effectiveness and user performance.

- Lead the practice's financial administration activities, ensuring efficient billing processes, accurate patient reconciliations, and effective debtor management.

- Ensure compliance with practice policies and procedures,



privacy requirements, and relevant healthcare regulations.

Developmental Paediatrics is a leading specialist paediatric practice in Bondi Junction, bringing together a team of more than 45 skilled medical and allied health professionals. We deliver comprehensive multidisciplinary assessments and consultations to support children, adolescents and their families across a broad range of developmental and behavioural presentations.

About You:

You will bring a calm, professional and proactive approach, with the ability to lead a busy team, manage competing priorities and maintain high standards of service.

- An excellent communicator with strong organisational skills.

- Able to lead with warmth and accountability.

- Demonstrated experience improving workflows and systems.

- Proven leadership or management experience in a similar role, ideally for at least two years.

- Previous medical reception or medical administration experience, ideally for at least three years.

- IT savvy and proficient in Microsoft 365, particularly Outlook, Excel, Word, SharePoint and Teams.

- Xestro experience will be highly regarded.
