About the Business:
Allan Technologies Pty Ltd is an Australian technology and business services company providing technology solutions and support to businesses. Our activities involve client service arrangements, technology and digital services, supplier and service-provider relationships, project delivery and commercial support.
Due to continued business activity and increasing contract administration requirements, we are seeking a full-time Contract Administrator – IT Services & Client Projects to support the administration and management of our client, supplier, service-provider and project agreements.
About the Role:
The Contract Administrator will be responsible for preparing, reviewing, administering and monitoring commercial agreements, client service arrangements, supplier/vendor agreements, project scopes, renewals, variations, contractual correspondence, invoices and payment milestone records.
This is a contract-focused position rather than a general office administration role. The successful candidate will require strong contract administration, commercial documentation, stakeholder coordination and record-management skills.
The position will work closely with management, clients, suppliers, service providers and internal team members to ensure contractual obligations, commercial terms, project deliverables, costs and timelines are appropriately documented and monitored.
Key Duties and Responsibilities:
- Prepare, review, interpret and administer client agreements, supplier/vendor agreements, service-provider agreements and other commercial contracts.
- Review contractual terms and conditions relating to pricing, scope of services, deliverables, timelines, payment obligations, renewals, termination and other commercial requirements.
- Maintain a controlled contract register recording agreement dates, contract values, renewal dates, payment milestones, key obligations and responsible parties.
- Coordinate and document contract variations, amendments, extensions, renewals and changes to scope, pricing, deliverables and timelines.
- Liaise with clients, suppliers,
service providers, management and internal staff regarding contractual requirements, service obligations and agreed deliverables.
- Monitor contractual obligations, project milestones, service deliverables and agreed timelines and follow up outstanding contractual requirements.
- Monitor contract expenditure, invoices and payment milestones against agreed contractual terms and maintain appropriate supporting records.
- Prepare contract summaries, payment schedules, status reports, renewal reminders and contract-related updates for management.
- Assist with the preparation and review of commercial proposals, quotations, service scopes, procurement documentation and supplier arrangements.
- Identify contractual discrepancies, delays, risks, non-compliance or other contract-related issues and escalate them to management where appropriate.
- Assist management with contract negotiations, renewals, amendments and resolution of contractual queries or disputes.
- Ensure executed agreements, approved variations, invoices, receipts, correspondence and supporting contract records are complete, accurate, properly maintained and auditable.
- Maintain organised electronic contract files and documentation systems to support effective commercial and project administration.
- Support management in ensuring contractual activities are administered consistently with company procedures and applicable contractual requirements.
Skills, Qualifications and Experience:
The successful applicant will ideally have:
- AQF Diploma or higher qualification in Business, Management, Project Management, Law, IT, Commerce or a related discipline, or equivalent relevant experience.
- At least 2 years of relevant experience in contract administration, commercial administration, project contract support or a similar role is preferred.
- Strong understanding of contracts, service scopes, variations, renewals, invoices, payment milestones and commercial documentation.
- Demonstrated ability to maintain accurate contract registers and supporting records.
- Strong written and verbal communication skills.
- Excellent attention to detail, organisational and document-management skills.
- Ability to interpret contractual requirements and identify discrepancies or outstanding obligations.
- Ability to manage multiple contracts, priorities, renewal dates and deadlines.
- Strong stakeholder-management and problem-solving skills.
- Good computer literacy and ability to work effectively with digital business and document-management systems.
- Experience within technology, IT services, professional services, digital services or other client-service/project-based environments will be highly regarded.
