We're seeking a highly organised and proactive Executive Assistant to support the Executive Director, Strategy, Planning and Programs and play a critical role in enabling the successful delivery of strategic and operational priorities across the Division.

The Opportunity

As the Executive Assistant to the Executive Director, Strategy, Planning and Programs, you will provide high-level executive and administrative support that enables effective leadership and delivery of divisional priorities. You'll be responsible for managing complex schedules, coordinating meetings and governance activities, preparing professional documentation, tracking actions and correspondence, and ensuring the smooth flow of information across the Division.

This is a pivotal role that requires exceptional organisation, discretion, and the ability to manage competing priorities in a fast-paced environment. Working closely with senior leaders and stakeholders across Parks Victoria,



you'll help drive operational efficiency, support strategic initiatives, and contribute to the achievement of organisational objectives.

Key Responsibilities

- Provide professional executive and administrative support within a complex, rapid-paced environment.
- Manage diaries, coordinate meetings, and prepare high-quality correspondence and documentation.
- Build effective relationships and communicate professionally with internal and external stakeholders.
- Coordinate tasks and priorities while demonstrating initiative and sound judgement.
- Manage competing priorities and resources to deliver work programs and meet deadlines.
- Identify opportunities for continuous improvement and implement practical solutions.
- Support governance, compliance, reporting, and record management requirements.
- Demonstrate accountability, professionalism, reliability, and a commitment to service excellence.
- Contribute to a collaborative, respectful, and high-performing team culture.

About You

You are an experienced and highly organised administrative professional who thrives in a agile setting and enjoys supporting senior leaders to achieve strategic outcomes. You are an excellent communicator with strong attention to detail, exceptional organisational skills, and the ability to build positive relationships with a diverse range of stakeholders.

You'll bring:





- A Certificate or Diploma qualification in Business Administration or a related field, or equivalent experience.
- Strong organisational, communication, stakeholder management, and time management skills.
- Demonstrated experience providing executive or administrative support, including diary management, correspondence coordination, and preparation of professional documentation.
- Proven ability to manage competing priorities, maintain confidentiality, and deliver high-quality outcomes in a complex environment.
- Experience supporting governance processes, continuous improvement initiatives, and operational coordination activities.
