The Role
Are you an organised, detail-driven professional who thrives on keeping things running smoothly behind the scenes?
We’re looking for an Office & Project Coordinator to become the backbone of our office operations and project delivery.
Working closely with our State Manager and Project Managers, you’ll play a key role in keeping our people, processes and projects on track. From maintaining accurate documentation and coordinating key activities to streamlining workflows and following up on actions, you’ll make sure nothing falls through the cracks.
Your reliability, initiative and eye for detail will help free up our leadership team to focus on strategic growth, client relationships and key business decisions, while you keep the wheels turning day to day.
Key Responsibilities
- Provide administrative and operational support, including project creation and accurate spreadsheet tracking
- Manage email, inbox and day-to-day communication with internal team members to support project delivery
- Maintain adequate stock of PPE and consumables (spray cans, markers, pegs, flagging, batteries, etc.), reordering proactively to keep field staff site-ready
- Keep office and storage areas, clean and tidy, and coordinate shipping and freight of equipment between offices and projects
- Support teams with project letter preparation, maintain the team competency matrix, and demonstrate a commitment to HSEQ policy and procedures
What You'll Bring
- Proven experience in an administrative, operations or project support role, ideally within a construction, engineering, surveying or field-based environment.
- Strong organisational and time-management skills, with the ability to manage multiple tasks, deadlines and priorities simultaneously
- Excellent written and verbal communication skills, with high attention to detail and accuracy
- A proactive, hands-on approach to problem-solving, stock management and logistics coordination, with the ability to work independently while supporting a broader team
- Proficiency in Microsoft Office Suite (especially Excel), a Certificate III in Business (Administration) or equivalent experience, and a valid driver's licence
