About the Role

Murrumbidgee Local Health District (MLHD) is seeking a Patient Flow and Transport Overnight Administration Support Officer to provide administration support to the Patient Flow and Transport Unit (PFTU). Working overnight as the sole admin support to the Patient Flow Nurse Coordinator, you will play a key role keeping patient transfers, telehealth consultations and transport crews running safely and smoothly through the night.

This is an autonomous, operationally focused role supporting patient flow clinicians and Ambulance and private patient transport providers, coordinating late transfer requests, providing telehealth support and ensuring accurate data entry and reporting for PFTU management. Shift work is a requirement of this position, with shifts primarily overnight and including weekends and public holidays.

Key Accountabilities

- Put measures in place to ensure the accuracy of data entered and collected, and access data and report as requested by PFTU management
- Work autonomously as the sole admin support overnight to support the Patient Flow Nurse Coordinator
- Remain familiar with the business continuity plan as it relates to the position, including how to process calls manually and how to escalate and report changes with business as usual (BAU)
- Provide timely administrative telehealth support to all services supported by PFTU under the supervision of the Nurse Coordinator,



including interactions with supporting agencies such as NSW Ambulance and outsourced medical workforce providers
- Initiate remote medical consult service case conferences using the telehealth platform under the direction of the Patient Flow Nurse Coordinator
- Communicate and negotiate late transfer requests with MLHD Patient Transport crews, and plan and dispatch transfers using the transport applications
- Support WHS practices mandatory for MLHD Patient Transport, including tracking and oversight of Patient Transport crews transferring late into the night to ensure a safe return to base, and report or handover issues to the Transport Coordinator
- Book and liaise with Ambulance and private patient transport providers for transfers under the direction of the Patient Flow Clinician, escalating to the Patient Flow Nurse when requested transfer times cannot be met
- Actively participate in ongoing training and quality management programs that enhance service delivery and competency skills
- Take direction from the rostered Patient Flow Unit Coordinator regarding bookings and communication with service stakeholders, including MLHD facilities and supporting service providers
- Multitask and prioritise workload using strong time management skills

Essential Criteria

- National Police Check
- Category B Vaccinations
- NSW Working with Children Check

Selection Criteria

- Demonstrated knowledge and capacity to learn computer based booking and scheduling systems,



database entry and telehealth platforms within the health environment
- Effective interpersonal, liaison and negotiation skills, including excellent listening skills, with the ability to establish and maintain effective working relationships with a variety of stakeholders
- Demonstrated ability providing excellent customer service and interacting professionally with clients, managers and staff
- Demonstrated ability to work independently and as a team member, maintaining strong team commitment while working within an operational workplace
- Demonstrated experience in multitasking, analysing and interpreting operational information, with essential attention to detail
- Understanding of medical terminology
- Ability to participate in quality and assurance measures required by the Patient Flow and Transport Unit governance processes
- Demonstrated knowledge and experience with reporting and use of Microsoft Excel
