The Opportunity
We are looking for a proactive and highly organised Administration Officer to join our Client Experience team to specialise in ATO & ASIC Compliance administration. This is a varied role with responsibility across both ATO and ASIC compliance, providing the opportunity to develop specialist knowledge while taking ownership of important client compliance matters from start to finish.
You will work closely with clients, accountants and internal teams to ensure lodgements and statutory obligations are completed accurately and on time, while helping resolve issues and continually improve our compliance processes.
This role can either be offered full time (5 days per week - Monday to Friday) or part time (4 days per week - Monday to Thursday), based in our Brookvale office, conveniently located opposite Warringah Mall.
Key Responsibilities
1. ATO Compliance
- ATO Lodgements: Prepare and manage ATO lodgements, including BAS/IAS, extensions and deferrals, ensuring deadlines are met accurately and on time.
- ATO Mail & Assessments: Monitor ATO Practice Mail and review correspondence and assessments, including Div 293, excess contribution tax and other compliance notices.
- Client & ATO Communication:
Liaise directly with clients and the ATO regarding lodgements, account queries, payments and compliance matters.
- Compliance Processing: Manage PAYG variations, penalty and interest remission requests and other ATO matters through to resolution.
- Accountant Coordination: Maintain ATO listings and permissions and support accountants with ATO-related compliance matters.
- Land Tax: Review and verify annual land tax assessments and assist with related client matters.
- Systems Support: Assist with ATO Mate troubleshooting and liaise with system support where required.
- Process Improvement: Identify opportunities to improve and streamline ATO compliance processes and workflows.
2. ASIC Compliance
- Annual Reviews: Manage ASIC Annual Reviews from issue to completion, including client follow-up, payments, due dates and late lodgements.
- ASIC Compliance: Complete corporate compliance requests including address changes, de-registrations, corporate keys, fee waivers and other ASIC matters.
- Issue Resolution: Troubleshoot failed Annual Reviews, incorrect payments, outstanding debts and other compliance issues.
- Client & Team Support: Liaise with clients, accountants and internal teams to resolve ASIC-related matters and provide guidance where required.
- CAS360 Management: Maintain accurate client information in CAS360 and liaise with system support as required.
- Process Improvement:
Maintain ASIC procedures and identify opportunities to improve systems, workflows and efficiencies, working closely with the ATO Compliance & Client Experience Manager.
- As part of the broader Client Experience team, you will also provide reception coverage during periods of annual and personal leave when required.
About You
You don't need to be an ATO or ASIC expert to succeed in this role. We're looking for someone who is organised, reliable and detail-focused, with the attitude and willingness to learn.
You may come from an administration, finance, bookkeeping, banking, accounting or professional services background. Experience with ATO or ASIC compliance would be advantageous, but it is not essential – full training can be provided.

Experience with CAS360, ATO Mate, FYI Docs, XPM or similar systems would be nice to have, but is not essential.
