Position Title: Junior Receptionist & Office Administrator

Role Overview

Our client's are a leading global provider of technology consulting and digital solutions, and we're looking for a dynamic Junior Receptionist & Office Administrator to join their team in the Melbourne CBD! In this high-energy entry-level role, you will represent their brand at the front desk, support day-to-day facilities and administrative operations, and collaborate with cross-functional teams to keep their office running seamlessly.
What You'll Be Doing
- Front-of-House & Hospitality: Warmly greet clients and guests, manage visitor arrivals, and coordinate coffee, snacks, or catering from local Melbourne cafes for meetings and VIP visits
- Access Control & Security Systems: Take end-to-end ownership of thier Access Control and Biometric systems for employee and visitor access (full vendor handovers and technical training provided!).
- Meeting & Experience Hub: Oversee meeting room bookings, set up video conferencing technology, and help organize internal events, team celebrations, and office decorations.
- Facilities & Building Coordination: Partner with Building Management for daily office upkeep, housekeeping standards, access card issuance, and vendor entries. Serve as an active Fire Warden and participate in mandatory safety drills.
- Supplies & Inventory Management:
Keep the office fully stocked—managing procurement, stock counts, replenishment, and issuance of stationery, office supplies, and pantry consumables.
- Mail & Logistics: Handle incoming and outgoing mail, post office boxes, and daily courier distribution.
- Vendor & Asset Support: Maintain their Asset Register, track Annual Maintenance Contracts (AMCs), source new vendors alongside existing service providers, and assist with supplier invoice processing.
- Finance & Operational Admin: Assist with accounts payable, budget planning, expense tracking, employee databases, and monthly MIS/operational reporting.
- Audit & Compliance Support: Provide inputs for internal and external audits while strictly adhering to company and client policies, processes, and procedures.
- Cross-Functional Collaboration: Work closely with colleagues across Sales, Pre-sales, HR, Immigration, RMG, and TIM to support company-wide initiatives and assist with ad-hoc admin tasks.

- Experience: 1-2 years in a similar role
- Communication & Energy: Upbeat, professional, and confident in interacting with visitors, suppliers, and internal executives.
- Tech-Savvy: Quick to learn office technologies, security platforms, and administrative software.
- Organization & Drive: Highly structured, detail-oriented, and excited to take ownership of a wide-ranging day-to-day workload.
