We are seeking a highly organised, detail-oriented and experienced Accounts & Administration Manager to join our busy Electrical team.
This is a hands-on role responsible for a broad range of accounts, administration, customer service and job management functions. You will play an key role in keeping the day-to-day operations of our office running smoothly and ensuring our financial and job records are accurate and up to date.
This position would suit someone who enjoys working in a small, supportive office workplace, likes variety in their day and is confident taking ownership of their responsibilities.
You will be working closely with management, electricians, customers and suppliers, so excellent communication and the ability to prioritise competing tasks are essential.
Key Responsibilities
Using Xero, Simpro and Google Workspace, your responsibilities will include:
General Administration & Office Management
- Answering and managing incoming calls and emails
- Providing skilled customer service
- Processing customer orders and supplier orders
- Document preparation and data entry
- Maintaining accurate electronic records and documentation
- General office administration and coordination
- Managing service calls and scheduling jobs
- Liaising with customers, suppliers, tradespeople and contractors
Accounts & Bookkeeping
- Accounts payable and accounts receivable
- Customer invoicing and receipting
- Following up outstanding accounts and debt collection
- Bank reconciliations
- Processing supplier invoices and payments
- Maintaining accurate customer and supplier accounts
- Assisting with general bookkeeping and financial administration
Simpro / Job Management
- Setting up and maintaining new and existing customers and suppliers
- Creating and maintaining quotes and jobs
- Scheduling and coordinating service jobs
- Managing job workflow and ensuring jobs are kept up to date
- Processing job-related documentation and invoicing
- Monitoring job information and ensuring accurate records are maintained
- Assisting management with job costing and reporting as required
Skills & Experience Required
- Minimum 3 years' experience in a similar accounts, bookkeeping or administration role
- Previous Xero experience – essential
- Previous Simpro experience – essential
- Experience working within the electrical, construction, building or trade services industry is highly desirable
- Strong understanding of accounts payable and receivable
- Experience with bank reconciliations and debt collection
- Excellent attention to detail and accuracy
- Strong organisational and time-management skills
- Ability to prioritise and manage multiple tasks
- Ability to work independently and take ownership of responsibilities
