Front Office Coordinator – Dental Practice, Gregory Hills NSW

Permanent Position | Build a Career With Us

We’re not looking for someone to simply fill a position. We’re looking for someone who wants to find their dental home.

We are an established, patient-focused dental practice looking for an exceptional Front Office Coordinator (FOC) to become a valued, long-term member of our team.

Our ideal person is warm, organised, dependable and genuinely enjoys looking after people. You’ll be someone who takes pride in creating an exceptional patient experience and wants to contribute to the success of the whole practice—not simply answer phones and manage the appointment book.

Why join us?

We believe a great workplace is one where people feel supported, know what is expected of them and are given the opportunity to grow.

Our practice works closely with Prime Practice, providing our team with ongoing training, systems, coaching and professional development.

For the right person, this is an opportunity to build a long-term career within a practice that invests in its people.

Your role

As our Front Office Coordinator, you will be an important part of the patient journey—from the very first phone call through to welcoming patients, coordinating their appointments and ensuring they leave feeling genuinely cared for.

You will

- Create a warm and professional first impression for every patient
- Manage incoming calls, enquiries and appointment bookings
- Welcome patients and build strong, genuine relationships
- Coordinate the appointment book proactively and efficiently

- Help patients understand appointments, treatment arrangements and next steps
- Support rebooking, recalls and Active Maintenance
- Manage confirmations, cancellations and schedule changes
- Communicate closely with our dentists, clinical team and fellow team members
- Participate in daily huddles and team meetings
- Follow established practice systems and protocols
- Contribute ideas and look for ways to improve the patient experience
- Take ownership of your role and contribute to the success of the practice

Who we're looking for

Dental experience would be highly regarded, particularly previous experience in dental reception, front office coordination or practice administration.

Just as importantly, we're looking for the right person and the right attitude.

You will be someone who is:

- Warm, positive and naturally good with people
- Reliable and committed
- Highly organised with excellent attention to detail
- Confident communicating face-to-face and over the phone
- Comfortable having conversations about appointments and financial arrangements
- Proactive rather than waiting to be told what to do
- A genuine team player
- Open to feedback, coaching and learning

- Calm and solutions-focused when things get busy
- Interested in being part of a team for the long term

What matters to us

We want someone who wants to belong, not just have a job.

Someone who gets to know our patients.

Someone their teammates can rely on.

Someone who takes ownership when something needs to be done.

And someone who wants to look back in a few years and feel proud of how much they have grown with the practice.

What we offer

- A permanent position with stability and security
- A supportive, established dental team
- Clear systems and expectations
- Ongoing training and professional development
- Access to Prime Practice training and development
- Regular team meetings and communication
- The opportunity to develop your skills and responsibilities over time
- A practice that genuinely values patient care, teamwork and personal growth
- The chance to become an important, long-standing member of our team

Sound like you?

If you're looking for a quick stop before your next role, this probably isn't the position for you.

But if you're looking for a practice where you can settle in, contribute, grow and become an integral part of the team, we'd really like to hear from you.

Please send us your CV along with a short introduction telling us why you're looking for your next long-term dental home.

Pay: $32.00 – $38.00 per hour

Expected hours: No less than 16.0 per week

Experience

- Dental receptionist: 1 year (Preferred)

Work Authorisation:
