Your Mission
As a Management Assistant, Corporate Services, you will play a key role in supporting our Partners and the wider team, helping ensure the smooth and efficient operation of the business.
Reporting to the Partner in charge of our Melbourne office/Practice Group Leader, First Response, with a dotted line to the Chief of Staff, you will work as part of a collaborative Management Assistant team across the Group.
This role is suited to someone who is proactive, highly organised and comfortable working both independently and collaboratively. You will manage competing priorities, provide high-quality administrative support and help our Partners and teams stay focused on delivering exceptional outcomes.
Key Responsibilities
- Manage inboxes as required, ensuring correspondence is reviewed, assessed and actioned proactively.
- Coordinate complex diaries and schedules, including interstate and overseas travel and periodic business updates to clients.
- Coordinate internal and external meetings, ensuring required materials, meeting rooms, technology and catering are organised in advance.
- Manage domestic and international travel arrangements, including flights, accommodation and transfers, ensuring compliance with Atmos travel policies.
- Proactively manage expenses in collaboration with the Finance team.
- Work closely with the PCC team to support Partners with upcoming conferences and client commitments, including registrations and preparation of required materials.
- Provide practical support to Partners and their teams,
including conflict checks, opening current matters and maintaining accurate client and business information.
- Work collaboratively with Management Assistants across the Group to ensure outstanding tasks are managed to a high standard and within agreed timeframes.
- Support the First Response & Engagement Manager with office operations, social and staff engagement activities and the smooth running of the Melbourne office.
- Assist the People & Culture team with welcoming and onboarding new starters and overseeing their initial IT setup requirements.
- Provide ad hoc administrative support to the wider Melbourne team, including meeting room bookings, event coordination and preparation of documents and printed materials.
- Research and contribute to new initiatives and improvements that support revenue growth and/or margin improvement for Partners.
- Maintain and update business information, including LinkedIn connections, HubSpot contacts, task lists and spreadsheets.
- Participate in internal meetings, provide updates on current tasks and workload, and share insights and knowledge.
- Attend executive meetings when required to take notes and prepare minutes and action items.
- Support occasional projects and coordination activities, including preparing schedules and materials and coordinating key stakeholders.
What You’ll Bring
- Strong proficiency in Microsoft Office and workplace management tools.
- Confidence working independently while contributing effectively within a team.
- Strong organisational, interpersonal and communication skills.
- The ability to manage multiple priorities in a fast-paced, high-pressure environment.
- A proactive approach with strong problem-solving skills.
- An engaged and enthusiastic attitude.
- Strong discretion and the ability to handle confidential information appropriately.
- Flexibility to respond to changing business needs.
- Excellent attention to detail and a high level of reliability.
- Initiative and commitment to delivering work to a high standard.
- An understanding of legal practice would be advantageous but is not essential.
