Casual Medical Receptionist – Specialist Paediatric Medical Practice

About the Role
We are a caring and professional specialist paediatric medical practice located in the South Wentworthville/Westmead area of Western Sydney. We are seeking an experienced, friendly and highly organised Medical Receptionist to join our team.
This is an important front-line role. You will often be the first person our young patients and their families encounter, either by telephone or in person. We are therefore looking for someone who can combine excellent medical administration skills with warmth, patience and genuine compassion for children and their families.
The successful applicant will be confident working in a busy specialist medical environment and able to provide a welcoming, calm and professional experience for patients, parents and carers.
Key Responsibilities
- Welcoming children, parents, carers and families in a warm and professional manner
- Answering incoming telephone calls and responding to enquiries
- Booking, confirming, changing and managing patient appointments
- Managing patient arrivals, registrations and reception processes
- Maintaining accurate patient records and confidential information
- Managing referrals and correspondence
- Processing payments, invoices and Medicare claims, where required
- Communicating professionally with doctors, nurses, allied health professionals and other team members
- Managing emails, faxes and general administrative tasks
- Assisting with the smooth and productive operation of a busy specialist practice
- Providing compassionate support to families who may be concerned or anxious about their child
About You To be successful in this role, you will have:
- Previous experience as a medical receptionist and Medicare and billing system.
- Experience working in a medical or specialist practice
- Excellent communication and interpersonal skills
- A warm, patient and caring approach towards children and families
- Strong telephone and customer-service skills
- Good computer literacy and confidence learning or using medical practice software
- Experience with appointment scheduling and patient management
- Experience with Medicare billing and medical billing processes, desirable
- Strong organisational and multitasking abilities
- Excellent attention to detail
- A high level of professionalism and confidentiality
- The ability to remain calm and courteous in a busy environment
- A positive attitude and ability to work well as part of a team

Experience in the following IS ESSENTIAL.:
- Specialist medical practice experience.
- Paediatric or family-centred healthcare
- Medical terminology
- Medicare and private billing.
- Ability use practice-management software
- Managing specialist referrals and correspondence
