About the Role
Freedom Property Investors is seeking an experienced, full-time Office Manager – Corporate Operations & Facilities to lead daily workplace services, facility resources, and executive administration at our Sydney Headquarters. This role requires a proactive professional with proven expertise managing quick-paced corporate environments, financial administrative workflows, corporate travel, and staff onboarding. The successful candidate will organize, control, and review office operations, supplier contracts, Workplace Health & Safety (WHS), and administrative support services.
Key Responsibilities:
1. Administrative Systems & Facilities Management:
- Establish and maintain daily office procedures, operating standards, and cleanliness routines across Level 12, 201 Kent Street.
- Oversee facilities maintenance, physical infrastructure, building management interactions, and contractor compliance.
- Direct corporate event logistics, office setup, and internal host operations for staff and client gatherings.
2. Executive Administration & Travel Logistics
- Manage complex national and international travel bookings, transport, accommodation, and itinerary management.
- Provide executive assistance (PA support) to senior management, including meeting arrangements and high-level correspondence.
- Oversee reception operations, phone channels, client walk-ins, and incoming/outgoing mail.

3. Onboarding & HR Administrative Support
- Coordinate employee onboarding workflows (orientations, profile setup, photo management, and swipe pass issuing) and offboarding procedures.
- Assist HR functions by maintaining accurate staff records and workplace compliance documentation.
- Serve as Chief Fire Warden and lead Workplace Health & Safety (WHS) compliance protocols.
4. Financial Administration, Accounts & Procurement:
- Manage stationery, office inventory, and IT equipment supplies.
- Handle corporate financial support: maintain the finance inbox, enter sales/purchase invoices into Xero, and oversee direct debit arrangements.
- Maintain insurance policy renewals (commercial and travel) and cultivate strong relationships with suppliers and clients.
Qualifications:
- A-Levels / High School Certificate (or equivalent 4+ years of progressive Office Management and financial administration experience).
- Minimum 4+ years of hands-on experience as an Office Manager or Operations Coordinator within a fast-paced corporate environment.
- Proficiency in Xero accounting software, accounts receivable/payable processing, and Microsoft Office (Excel, Word, Outlook).
- Demonstrated experience handling international travel logistics, corporate event hosting, executive support, and employee onboarding workflows.
- Hands-on experience in supplier management, IT equipment inventory, and WHS/fire warden duties.
