Description

Reporting to a Senior Director, this role supports the effective operation of the Investment team by providing high-quality transaction, documentation, process and coordination support.

The role draws on the skills and disciplines commonly associated with paralegal work, is embedded within one of Housing Australia's Investment groups and is focused on helping the team progress investment matters efficiently, maintain solid document control, coordinate stakeholder inputs and manage key administrative workflows.

Key responsibilities include

- Transaction documentation support - assist the investment group with the review, organisation and management of legal and transaction documents, including agreements, deeds, approvals, correspondence, checklists, due diligence materials, condition precedent documents and execution packs.
- Process and workflow management - maintain transaction trackers, registers, checklists, action logs and work-in-progress records, ensuring key dates, dependencies, conditions, approvals and follow-up actions are visible, current and actively managed.
- Document control and records - maintain organised investment matter files, document repositories and version control processes, ensuring materials are complete, searchable and stored consistently in accordance with Housing Australia’s record keeping,



confidentiality and information management requirements.
- Diary, meeting and logistics support - manage diaries, schedule meetings, prepare agendas, coordinate papers, capture actions and support follow-up for investment group meetings, transaction discussions, stakeholder briefings and internal approval processes.
- Stakeholder coordination - liaise with internal teams, external advisers, counterparties and other stakeholders as directed to request information, circulate documents, track responses and support the timely progression of investment matters.
- Governance and approvals support - support the preparation and coordination of approval materials, internal briefing packs, committee papers and meeting records, helping ensure investment processes are complete, well evidenced and aligned with required governance steps.
- Team contribution and culture - contribute to a collaborative, responsive and high-performing investment team by supporting colleagues, maintaining professional standards, identifying opportunities to improve processes and performing any other duties and responsibilities as reasonably directed by Housing Australia.

Skills and Experiences The successful candidate will have:
- Experience providing paralegal, transaction, administrative and coordination support within a legal environment (private practice, government or inhouse).
- Experience preparing, reviewing, formatting or managing legal documents,



contracts, correspondence, due diligence materials, execution packs, checklists, registers or investment matter files.
- Experience coordinating processes, tracking actions, managing diaries, scheduling meetings, preparing meeting materials and supporting follow-up across multiple stakeholders.
- Experience working collaboratively with investment teams, lawyers, business teams, external advisers or counterparties to support timely completion of document-heavy, process-driven matters.
- Tertiary qualifications in law, legal studies, business, commerce, finance, public policy or a related discipline would be well regarded however, current study towards a law degree, admission pathway, paralegal qualification, business or finance qualification would be desirable, but equivalent practical experience will also be considered.
