Your Impact:

As a Full Time People Systems and Reporting Administrator, you will:

- provide technical and administrative support by troubleshooting issues, providing employee reports, and ensuring system compliance.
- support process improvements to streamline HR operations, including the implementation and ongoing administration of ShiftCare.
- reporting to People Systems & Reporting Lead.
- collaborating with: Exec, HR, Payroll, IT, internal and external vendors (e.g., ELMO, SupportAbility, Definitiv and ShiftCare support).
- proactive, self-motivated, and systems driven.
- require analytical thinking, adaptability to new technologies, and a collaborative approach to support team objectives and system improvements.

What you'll do: System Support The key responsibilities are listed below but not limited to:

- Participate and assist in the implementation of HR strategies and initiatives
- Manage user access in all HR Systems.
- Maintain and update employee records with a focus on data accuracy.
- Configure system settings, workflows, notifications, and approvals.
- Manage security profiles, reset passwords, and uphold data security.
- Troubleshoot technical and user-related issues, escalating as needed.
- Assist staff with system navigation and self-service features.
- Create and update positions as required.
- Act as the first point of contact for system-related queries, providing timely resolution and user support.
- Guide employees, managers, and stakeholders in effectively using all HR Systems as required.
- Support the administration and configuration of ShiftCare, including user access, staff profile setup, teams, locations, forms, notifications and approved system settings.

Data Entry & Integrity
- Conduct regular audits of HR system data to ensure accuracy.
- Perform bulk uploads and updates, ensuring correct formatting and validation.
- Restrict system access to authorised users only.

HR Reporting & Documentation
- Generate existing or ad-hoc reports in all HR Systems.
- Develop and provide information from HR operational reports monthly and as required.
- Maintain system documentation, user guides, Policy and Procedures and process manuals.

System Process Improvement
- Assist with ShiftCare implementation and ongoing support,



including data migration and validation, system testing, issue investigation, documentation, training and transition to business-as-usual support.
- Support testing of updates, integrations, and recent features prior to deployment.
- Assist in automating repetitive administrative tasks to improve efficiency.

Cross-Team Collaboration & Vendor Liaison
- Work closely with HR, Payroll, IT, and other internal teams to ensure seamless system functionality.
- Liaise with external vendors, including all HR Systems, to resolve technical issues and implement system improvements.

What you’ll bring:

- Experience in HR information systems administration and configuration, with exposure to ELMO, Definitiv, ShiftCare or comparable systems.
- Ability to work autonomously and take initiative.
- Strong problem-solving skills with the ability to troubleshoot technical and user-related issues.
- Systems-driven mindset with a focus on process improvement.
- Experience in a similar HR system, or a strong administrative background with HR-related systems.
- High attention to detail with the ability to verify data accuracy and integrity.
- Understanding of HR processes, employee records management, and system workflows.
- Proficiency in generating and formatting reports in Word, Excel & PowerBI.
- Excellent communication and interpersonal skills to support and train employees and stakeholders.
- Ability to manage sensitive employee data with a high level of confidentiality.
- Familiarity with HR data reporting and analytics (desirable).
- Exposure to system testing and troubleshooting for HR software solutions (desirable).
