About our hospital:
Pacific Private Hospital specialises in elective surgery across:
Orthopaedics
Ophthalmology
Plastic Surgery
Mohs Surgery
Oral & Maxillofacial Surgery

Our facility features 7 operating theatres and 8 inpatient beds.
Following a recent expansion, our newly developed hospital provides a state-of-the-art environment designed to combine the capabilities of a conventional hospital with the efficiency and personalised experience of a day surgery facility.
Your opportunity:
We are seeking an experienced and motivated Administration Team Leader – Bookings to join our team.
This is a Full-time fixed term Maternity Leave relief position with potential for ongoing employment - November 2026 - September 2027
As a key member of our hospital, you will play an key role in ensuring the smooth coordination of theatre bookings and supporting an exceptional experience for patients, medical practitioners and our wider team.
This is a hands-on leadership role where your organisational skills, attention to detail and ability to build solid relationships will make a genuine difference every day.
With respect and collaboration, you will:
Manage theatre bookings: ensuring operating lists are accurate, complete and distributed within required timeframes.
Support administrative performance: Ensure documentation is accurately recorded and patient quotes are recorded and within timeframes. Liaise with health funds and complete checks
Build strong stakeholder relationships: Develop positive working relationships with Visiting Medical Officers, practice staff,
patients, colleagues and other key stakeholders.
Deliver exceptional patient and visitor service, acting as a welcoming first point of contact and helping create a consistently positive patient experience.
Lead, mentor and educate: Provide guidance, coaching and leadership to the team.
Keep patient safety central: Maintain clear communication with the team and respond proactively to risks, changes or concerns.
Champion continuous improvement, contributing to a culture of safety, quality, efficiency and genuinely patient-centred care.
Who we’re looking for:
You are a compassionate and dedicated professional who pairs administrative excellence with a genuinely warm, patient-first approach. You thrive in a collaborative, down-to-earth environment and take real pride in the high standard of care you provide.
To succeed in this role, you will have:
Proven experience in team leadership and stakeholder management.
Experience using Patient Administration Software, preferably FYDO.
Strong IT skills, including proficiency across the Microsoft Office suite.
Knowledge of health fund contracting and the Australian private healthcare system.
Sound knowledge of medical terminology.
Excellent organisational skills and the ability to manage competing priorities while maintaining a high level of accuracy.
A genuine passion for delivering exceptional customer service within a healthcare environment.
