We are looking for a suitably experienced Office Manager to join our specialist Oral & Maxillofacial surgery practice on a full time basis. This is a hands-on hybrid role responsible for overseeing the day-to-day administration and smooth operation of the practice, together with reception duties. Working closely with the principal surgeon, the Office Manager will coordinate office services, manage administrative processes, maintain financial and patient records, and ensure the practice operates efficiently and professionally.
Key responsibilities
Meet and greet patients and manage reception desk
Answer telephone and make appointments
Coordinate patient bookings and enquiries, providing qualified and timely communication.
Manage incoming and outgoing mails and emails
Organise patient files and x-rays in readiness for consulting and theatre sessions
Arrange and manage theatre lists
Prepare consultation and treatment rooms
Liaise with hospitals, healthcare providers and other third parties
Prepare and process correspondence, reports, invoices, referrals and other documentation as required.
Maintain accurate and confidential patient, financial and business records.
Manage invoicing, billing, payments and account reconciliations.
Maintain and control debtors
Review and improve practice systems
About you
Previous experience as an Office Manager or Senior Administrator.
Have nursing background – dental or general nursing
Experience managing day-to-day office operations and administrative services.
Computer literate and previous experience with medical / dental practice management software, in particular Gentu

Strong organisational skills, with the ability to prioritise and manage multiple responsibilities independently.
Excellent written and verbal communication skills.
Solid attention to detail and accuracy in record-keeping and administration.
Demonstrated experience dealing professionally with patients, healthcare professionals and external stakeholders.
Understanding of specialist practice workflows, administration and financial processes
Experience with invoicing, accounts administration and reconciliation.
