Site Administrator – Construction
Western Sydney | Full-Time | Construction
The Opportunity:
An established construction company with a strong pipeline of projects across Western Sydney is looking for an experienced Site Administrator to join their project team.
This is a varied role suited to an experienced Site Administrator, Project Administrator or someone with a finance/accounts background within construction who is looking to move into a broader project-based position.
You'll work closely with the Project Manager and site team, supporting the administration and financial coordination of the project and helping ensure everything runs smoothly day to day.
Key Responsibilities:
Provide day-to-day administration support to the Project Manager and site team
Maintain project documentation, registers, filing systems and databases
Manage incoming and outgoing project correspondence
Assist with subcontractor and supplier administration
Process and coordinate invoices, purchase orders and payment documentation
Assist with accounts payable and invoice reconciliation
Check invoices against purchase orders, contracts and supporting documentation
Assist with subcontractor claims, variations and supporting documentation
Maintain accurate cost and project administration records
Assist with tracking project expenditure and updating spreadsheets
Coordinate site inductions, onboarding and access requirements
Maintain site and project registers
Assist with meetings, minutes and follow-up actions
Liaise with subcontractors,
suppliers and internal stakeholders
Support the Project Manager with general project administration as required
About You:
We're looking for someone who is highly organised, detail-oriented and comfortable working in a fast-paced construction environment.
You will ideally have:
Previous experience in Site Administration, Project Administration or Accounts/Finance within construction
Strong understanding of construction administration and project processes
Experience processing invoices, purchase orders, supplier payments or subcontractor documentation
Excellent attention to detail and strongnumerical/financialadministration skills
Confident communication skills with the ability to liaise with subcontractors, suppliers and internal teams
Solid Microsoft Office skills, particularly Excel and Outlook
Experience with Aconex, Procore, Jobpac or similar construction/ERP systems would be advantageous
Excellent organisation and time management skills
The ability to manage multiple priorities and meet deadlines
A proactive attitude and willingness to get involved across both administration and financial tasks
